About this position

Overview:

The Project Specialist plays a crucial role in supporting the Project Management team in overseeing multiple projects. This position involves administrative tasks, customer service, and the preparation of reports, ensuring that projects are managed efficiently from conception to completion. The specialist will work closely with various teams to define project requirements, manage resources and maintain project documentation.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Requests, organizes, maintains, and routes (as needed) project files/documentation which may include permits WO’s (Work Orders), NTP’s (Notice to Proceed), NOC’s (Notice of Commencement), NOT’s (Notice of Termination), BOM’s (Build of Material).
  • Collaborate with project managers to define project scope and objectives.
  • Manages multiple project stages, keeping systems and records updated.
  • Manage project scope, ensuring all aspects of the project are clearly defined.
  • Provides assistance with the preparation of closeout package (COP’S) documentation to include all utilities, ensures COP’s are produced in alignment with Betacom quality standards and contain all necessary items prior to release.
  • Review WIP reports, verify budgets, costs, and Pos, identify cost transfers, initiate invoicing, confirm true‑up accuracy.
  • Working closely with Construction and Project Manager.
  • Coordinate and provide sub‑contractor requirements and work closely with the construction team to properly track costs.
  • Responsible for the written/oral communication between Betacom, Client and third‑party vendors.
  • Providing status reports as requested for the customer representatives.
  • Communicate with Client regularly ensuring project deadlines are met and obtain site acceptance verification from Client.
  • Perform administrative tasks as may be required from time to time.

  • Ability to meet deadlines and satisfy needs with multiple and conflicting priorities.
QUALIFICATIONS:
  • Associate’s degree or equivalent work experience.
  • Minimum 5-plus years related experience.
  • Experience in wireless/telecom services.
  • Strong experience with Microsoft Office (Excel, Access, PowerPoint, Word, Outlook) programs.
