Job description


We are seeking a highly organized and motivated Administrative Assistant to provide comprehensive administrative support to the CEMA Finance and Contracts Directors. The ideal candidate will be a proactive problem-solver with excellent communication skills and strong attention to detail. This position will be responsible for providing specialized administrative support for a variety of duties and tasks, as well as day-to-day coordination of meetings and travel.
Primary duties and responsibilities:
  • Maintain the Finance and Contracts Directors' calendars, arrange meetings and appointments, including coordination with other business administrative staff on executive calendars.
  • Manage travel arrangements, expense reporting and procurement card reconciliation.
  • Coordinate, facilitate and provide support for various meetings and events.
  • Manage meeting and event logistics and connections, including catering.
  • Communicate with executives, administrative and management to gather and convey relevant information.
  • Maintain and track action items through completion.
  • Assist with special projects as assigned.

Required Skills and Education
  • Prior experience working as an Administrative Assistant in corporate setting
  • Experience in coordinating, facilitating, and supporting meetings, and events
  • Experience managing schedules and calendars for executive leadership with complex time commitments
  • Proactive approach to problem-solving, highly organized, and detail-oriented
  • Robust ability to multi-task and prioritize daily workload ensuring tasks and deadlines are met
  • Proficiency in Microsoft Office applications: Teams, Word, Excel, PowerPoint, and Outlook
  • Proficient verbal and written communications skills

  • A thorough understanding of business practices, procedures, and the ability to interface well with all levels of management
