Client Overview
Our client, a prestigious university, is seeking a polished and highly organized Executive Assistant to support a senior executive within their Advancement division. This role is ideal for an experienced Executive Assistant who enjoys working with donors, board members, and high-profile stakeholders in a mission-driven environment. The ideal candidate is sharp, personable, and thrives in a fast-paced setting where professionalism and discretion are essential.
Salary/Hourly Rate
$25/hr - $29/hr
Position Overview
The Executive Assistant will provide comprehensive support to a senior leader, managing complex calendars, travel arrangements, expenses, and high-level meetings. This individual will interact with donors, board members, and VIP guests and should be comfortable representing the office with professionalism and warmth. Flexibility to occasionally support evening events is required, with advance notice provided. This is an outstanding opportunity for a polished Executive Assistant seeking exposure to senior leadership, donor relations, and board-level operations in a collaborative and mission-driven environment.
Responsibilities Of The Executive Assistant
  • Manage a high-volume executive calendar and prioritize competing demands.
  • Coordinate complex domestic and international travel arrangements.
  • Prepare reports, presentations, correspondence, and meeting materials.
  • Draft and edit communications with exceptional attention to detail.
  • Coordinate board meetings, donor events, and executive-level engagements.
  • Arrange facilities, catering, invitations, and logistics for meetings and special events
  • Support donor cultivation activities and executive dinners.
  • Process expenses, reimbursements, and budget-related documentation.
  • Manage filing systems and confidential records.
  • Serve as a liaison with internal departments, donors, and external stakeholders.
  • Assist with special projects and executive initiatives as needed.
Required Experience/Skills For The Executive Assistant
  • Prior experience supporting a senior executive or C-suite leader.
  • Heavy calendar management and complex travel coordination experience.
  • Strong expense management and budgeting skills.
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Outstanding written and verbal communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Professional demeanor with exceptional interpersonal skills.
  • Ability to work independently and manage multiple priorities.
Preferred Experience/Skills For The Executive Assistant
  • Experience within higher education, nonprofit, fundraising, or development environments.
  • Experience interacting with high-net-worth individuals, board members, and donors.
  • Knowledge of Raiser's Edge or similar donor database systems is strongly preferred.
  • Experience with procurement, reimbursements, and budget tracking.
Education Requirements
  • Bachelor's degree is preferred.
