Job description

The Part-Time Operations Supervisor / Administrative Assistant provides administrative and operational support to the Warehouse teams. This role is responsible for assisting with day-to-day office functions, coordinating communication, organizing documentation, and supporting event-based operational needs. This individual will serve as a key resource to ensure efficient workflow and organization.
PRIMARY RESPONSIBILITIES:
  • Provide ABI support as needed (Payroll)
  • Oversee daily warehouse operations, ensuring all processes run efficiently and on schedule
  • Maintain accurate inventory records through regular cycle counts and system updates
  • Supervise receiving of deliveries, verifying quantities, quality, and compliance with purchase orders
  • Enforce health, safety, and sanitation standards in compliance with food safety regulations
  • Investigate inventory discrepancies, shrinkage, and damages, and implement corrective actions
  • Collaborate with purchasing teams to maintain optimal stock levels and avoid shortages or overstock
  • Monitor vendor performance, delivery timelines, and product quality
  • Supervise the control of inventory of alcoholic beverages with strict accountability
  • Ensure proper handling and documentation of returns, transfers, and waste
  • Control access to high-value inventory and implement loss prevention measures
  • Lead, train, and schedule warehouse staff, ensuring productivity and accountability
  • Coordinate scheduling for warehouse
  • Assist with payroll tracking and related administrative tasks
  • Support event day check-in processes
  • Collect and process invoices for submission and tracking
  • Take notes during maintenance calls and assist with structuring follow-up actions
  • Scan receipts and upload documentation to the shared drive
  • Create signage and laminate materials for operational needs
  • Assist in building and organizing a maintenance request system
  • Organize and track incoming maintenance work orders
  • Support Yellow Dog Inventory items during ongoing implementation
  • Provide general administrative support for warehouse and maintenance teams
  • Assist with additional operational needs as assigned
  • Must be available to work nights and weekends
  • Schedule will align with event calendar and operational needs
  • Hours will vary based on business demands

QUALIFICATIONS
  • Strong organizational and administrative skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency with Microsoft Office
  • Strong attention to detail and follow-through
  • Excellent communication skills
  • Ability to work independently and support multiple team members
  • Previous administrative or operations support experience preferred

Skills and Abilities
  • Excellent verbal, written and interpersonal skills essential
  • Excellent organizational, planning, and communication skills
  • Familiarity with Food Handling and related state and federal regulations required
  • Able to work flexible schedules, including weekends, nights and holidays
  • Strong customer service orientation
  • Bilingual - English and Spanish

Compensation:
Part-Time $25.00hr
