Job description

As a Workplace & Facilities Administrator, Corporate, you'll assist in managing Spectrum's integrated facilities and workplace services, ensuring operational reliability and effectiveness. Your role supports property services, building systems, and workplace experiences, contributing to a positive and productive atmosphere. 
 
By aligning operational practices with preferred occupancy expectations, you'll reinforce Spectrum's mission to deliver exceptional service and maintain high standards. Your efforts will foster a workplace where teams can thrive, supporting the company's strategic goals and commitment to operational excellence. 

How You’ll Make an Impact

  • Assist in maintaining positive customer relations by providing responsive and quality facility services.
  • Oversee workplace and facilities contracted services, ensuring compliance with specifications and regulatory requirements.
  • Manage customer occupancy experience requests through a helpdesk or work ticket system, ensuring accurate data entry and coordination.
  • Support the vendor selection process by managing competitive bids and conducting bid summary analyses.
  • Act as a liaison between service providers and facilities management teams, facilitating effective communication.
  • Prepare and manage performance dashboards and reports, including financial accruals and budget variance analyses.
  • Support building life cycle projects and facilities planning, coordinating space allocations and small office moves.

What You’ll Bring to Spectrum 
 
Required Qualifications 
 
Education 
  • Bachelor’s degree in Business Administration or related field, or combination of education and experience 
Experience 
  • 2+ years of experience within facilities or property management 
Skills 
  • Demonstrate effective spatial skills with experience implementing workplace strategies and translating business requirements into space requirements for business units 
  • Possess intermediate knowledge of AutoCAD, CAFM/IWMS systems, Excel (including V-Lookups and pivots), and PowerPoint for consolidating data and floor plans into presentations 
  • Exhibit proven ability to solve problems and the desire to create and build processes 
  • Provide demonstrated customer service skills and ability to interface with various levels of management and staff 
  • Thrive in ambiguous situations among numerous cross-functional entities 
  • Demonstrate proven complex and creative problem-solving skills 
  • Stay up-to-date on industry best practices 
  • Balance working independently and collaboratively as part of a multi-functional team 
  • Analyze and interpret data 
  • Communicate orally and in writing in a clear and straightforward manner 
  • Handle multiple projects and tasks 
  • Hold a valid driver's license with a satisfactory driving record within company standards

  • 2+ years of experience in a corporate environment 
  • 2+ years of quantitative or operational analysis experience
