The Workforce Operations Coordinator supports the organization's workforce strategy by coordinating recruitment, onboarding, scheduling support, employee credentialing, compliance monitoring, workforce reporting, and employee engagement. This position helps ensure staffing needs are met efficiently while maintaining compliance with federal, state, Georgia Medicaid, accreditation, and organizational requirements.

Workforce Recruitment and Talent Acquisition

• Support recruitment efforts for clinical, direct support, administrative, and volunteer positions.
• Maintain recruitment pipelines through job boards, workforce agencies, educational institutions, and community partnerships.
• Represent FBHS at career fairs, workforce events, community outreach activities, and recruitment initiatives.
• Review applications and conduct preliminary applicant screenings.
• Coordinate interviews and candidate communications with hiring managers.
• Conduct reference checks and verify employment history.
• Maintain applicant tracking systems and recruitment records.
• Support caregiver/direct support recruitment campaigns.
• Prepare recruitment, vacancy, and workforce pipeline reports.

Employee Onboarding and Workforce Development

• Coordinate new-hire onboarding and orientation.
• Ensure onboarding documentation is complete, accurate, and timely.
• Verify pre-employment requirements, including background checks, employment eligibility, licenses/certifications, motor vehicle documentation, and required healthcare screenings.
• Coordinate orientation schedules and required workforce training.
• Monitor completion of mandatory training and continuing education.
• Maintain onboarding and training records in accordance with regulatory requirements.

Workforce Scheduling Support

• Assist with workforce scheduling and staffing coordination.
• Monitor vacancies, open shifts, callouts, absences, and coverage needs.
• Coordinate staffing adjustments and support leadership in maintaining adequate staffing levels.
• Monitor overtime utilization and scheduling trends.
• Assist with staffing, utilization, and workforce coverage reports.
• Support scheduling activities that promote continuity of client services.

Workforce Compliance and Credential Management

Maintain workforce compliance with applicable:

• Georgia Medicaid requirements
• Georgia DBHDD requirements
• HIPAA regulations
• Georgia and federal employment laws
• Accreditation standards
• Organizational policies and procedures

Maintain credential tracking systems and compliance logs. Monitor and track renewals for applicable licenses, certifications, registrations, and required documentation, including:

• RN/LPN licenses
• CPR/First Aid certification
• Crisis Prevention Intervention (CPI)
• Proxy Caregiver Certification
• Driver's license
• Automobile insurance and vehicle registration
• Required annual training hours
• Tuberculosis and healthcare screening documentation
• Abuse, Neglect, and Exploitation training
• Other position-specific credentials and requirements

Provide renewal notifications at least 60 days before expiration, promptly escalate compliance concerns, and assist with internal audits and regulatory reviews.

Human Resources Administration

• Maintain employee personnel files and electronic workforce records.
• Ensure personnel documentation meets federal, state, Medicaid, accreditation, and organizational requirements.
• Track 90-day evaluations, annual performance reviews, corrective actions, employee acknowledgements, and training completion.
• File inactive employee records within two business days of separation.
• Assist with employee correspondence, workforce documentation, and employment verification requests.
• Conduct and document fingerprint screenings using approved systems.
• Maintain confidentiality of employee and organizational information.

Employee Engagement and Retention

• Support employee engagement, recognition, appreciation, wellness, and team-building initiatives.
• Coordinate employee communication activities.
• Participate in employee satisfaction and retention efforts.
• Assist leadership in identifying workforce trends affecting recruitment and retention.
• Conduct stay interviews and employee feedback activities as assigned.

Workforce Analytics and Reporting

Prepare monthly workforce reports and operational metrics, including:

• Open positions and vacancies
• Recruitment activity
• Employee turnover and retention
• Credential compliance
• Training completion
• Workforce vacancy trends
• Overtime utilization

Assist leadership with workforce planning, forecasting, and data-driven decision-making.

Customer Service and Professional Standards

• Maintain professional, respectful, and responsive communication with employees, applicants, clients, families, community partners, and regulatory agencies.
• Return calls and correspondence by close of business or the next business day.
• Demonstrate professionalism, integrity, accountability, confidentiality, and sound judgment.

Supervisory Responsibilities

This position does not directly supervise employees but may coordinate activities involving applicants, new hires, volunteers, and workforce personnel during recruitment, onboarding, compliance, scheduling, and workforce development activities.

Qualifications: Education

Associate or bachelor's degree in Human Resources, Healthcare Administration, Business Administration, Public Administration, Organizational Leadership, or a related field; or an equivalent combination of education and relevant workforce operations experience.

Experience Preferred:

Two or more years of experience in one or more of the following:

• Human Resources
• Healthcare operations
• Workforce management
• Staffing coordination
• Home care operations
• Medicaid-funded programs

Experience with Georgia Medicaid, HCBS, DBHDD, CCSP, SOURCE, NOW/COMP, or similar healthcare workforce environments is strongly preferred.
