Overview
US Federal Solutions is seeking a detail-oriented and highly organized Workflow Manager (TMT Coordinator) to support the Office of the Assistant Secretary of the Air Force for Manpower and Reserve Affairs (SAF/MR).
This role is central to maintaining operational discipline across the organization. You will manage the flow of taskings, correspondence, and executive communications, ensuring that leadership priorities are executed on time, with precision, and in full compliance with Air Force standards.

Key Responsibilities
Workflow & Task Management (TMT)
  • Serve as the primary administrator for the Task Management Tool (TMT), managing the intake, routing, tracking, and closure of all organizational taskings
  • Monitor incoming actions daily and ensure all tasks are assigned within 24 hours to the appropriate directorates or external stakeholders
  • Maintain full visibility of task status, proactively identifying risks to deadlines and coordinating follow-ups to ensure on-time completion
  • Compile and distribute weekly task summaries (Mondays) and develop executive status briefings (Fridays) for leadership review

Correspondence & Executive Support
  • Draft, format, and prepare official correspondence, reports, memorandums, and presentations in accordance with Air Force standards (AFH 33-337, Tongue and Quill)
  • Conduct rigorous quality control reviews to ensure all materials are accurate, properly formatted, and ready for senior leader signature
  • Manage the end-to-end lifecycle of correspondence, including tracking, coordination, and final distribution

Suspense & Accountability Management
  • Track all assigned actions and correspondence to ensure 100% compliance with suspense dates
  • Maintain accurate records within approved systems of record, ensuring transparency and accountability across the organization
  • Coordinate with stakeholders to resolve delays and maintain workflow continuity

Records & Information Management
  • Support records management in accordance with AFI 33-322, maintaining file plans and ensuring proper classification and disposition of records
  • Assist with electronic records filing and provide guidance to staff on records management practices
  • Deliver periodic training and support to records custodians to ensure compliance and consistency

SharePoint & Content Management
  • Manage and maintain SAF/MR SharePoint and Air Force Portal sites, ensuring content is current, accurate, and well-organized
  • Post and update materials within established timelines, typically within one business day of receipt
  • Conduct regular site reviews to archive outdated content and identify issues such as broken links

Requirements
Office Hours:
  • 0800 to 1700 Monday through Friday
  • Onsite at Joint Base Andrews

Required Qualifications
  • 4+ years of experience in workflow management, executive support, or administrative operations within a federal or DoD environment
  • AS Degree or higher
  • Active SECRET CLEARANCE REQUIRED
  • Experience managing tasking systems such as TMT or similar workflow tools
  • Strong knowledge of Air Force or DoD correspondence standards
  • Exceptional attention to detail with strong organizational and time management skills
  • Proficiency with Microsoft Office Suite and SharePoint
  • Experience supporting Headquarters Air Force or senior-level leadership offices
  • Familiarity with records management systems (e.g., AFRIMS)
  • Experience preparing executive-level briefings and status reports
  • Ability to operate effectively in high-tempo, deadline-driven environments
