Workflow Architect information

What is a Workflow Architect?

A Workflow Architect is a professional who designs, implements, and manages automated business processes within an organization. They analyze existing workflows, identify areas for improvement, and use specialized tools to create efficient, streamlined processes. Their goal is to optimize productivity, reduce manual work, and ensure consistent, repeatable outcomes. Workflow Architects often collaborate with IT, business analysts, and other stakeholders to ensure the solutions meet organizational needs.

What are the key skills and qualifications needed to thrive as a Workflow Architect, and why are they important?

To thrive as a Workflow Architect, you need expertise in process analysis, business process modeling, and a solid understanding of workflow automation concepts, often supported by a degree in information systems or a related field. Familiarity with tools such as BPMN, workflow management platforms (e.g., Nintex, K2, or Microsoft Power Automate), and relevant certifications like CBPA or Six Sigma are typically required. Strong problem-solving, stakeholder communication, and project management skills help you effectively design and implement efficient workflows. These abilities ensure seamless process optimization, driving operational efficiency and aligning technology solutions with business goals.

What are some common challenges Workflow Architects face when designing automated processes, and how can they be addressed?

Workflow Architects often encounter challenges such as integrating diverse systems, ensuring scalability, and balancing automation with human oversight. These issues can be addressed by maintaining clear documentation, collaborating closely with IT and business stakeholders, and using modular, adaptable design principles. Staying updated on the latest workflow technologies and regularly testing processes in real-world scenarios also helps ensure that solutions remain efficient and resilient as business needs evolve.

What is the difference between Workflow Architect vs Business Analyst?

AspectWorkflow Architect
Primary FocusDesigning and optimizing complex workflows and processes
Required SkillsProcess modeling, systems integration, technical expertise
CertificationsBusiness Process Management (BPM), Six Sigma, relevant technical certifications
Work EnvironmentIT departments, operations, consulting firms

The Workflow Architect primarily focuses on designing and implementing efficient workflows using technical tools and process modeling. In contrast, a Business Analyst concentrates on analyzing business needs, gathering requirements, and facilitating communication between stakeholders. While both roles require strong analytical skills and understanding of business processes, Workflow Architects tend to have more technical expertise, whereas Business Analysts focus more on requirements gathering and process documentation.

Job description

Job Type
Full-time
Description
Forgent Power Solutions is building AI-enabled workflows across its core business functions - commercial, operations, finance, engineering, and more. We're hiring a Solutions Architect, Workflow Automation to take messy, manual business processes and turn them into working digital solutions that are faster, more accurate, and actually used by the people doing the work. You'll use workflow automation, AI agents, system integrations, and human review touchpoints to get there. This is a hands-on solutions architecture role.
The right candidate can map a business process, design the solution architecture, build the MVP, and partner with IT to scale it.
This role sits at the intersection of process design, solution architecture, and technical build. You'll assess workflows, decide what should be automated, AI-assisted, integrated, or kept human, build the MVP, and partner with IT to harden and scale successful solutions.
This is a remote position; however, the selected candidate must reside in the U.S.
Key Responsibilities
โ€ข Assess and map business processes end-to-end. Identify what should be automated, AI-assisted, integrated, or kept human.
โ€ข Design solution architecture for AI-enabled workflows, including workflow logic, system touchpoints, data inputs, rules-based automation, AI agents, human review, escalation paths, and feedback loops.
โ€ข Build MVPs using workflow automation platforms, AI agent workflows, APIs, integrations, and lightweight custom logic where needed.
โ€ข Build human-in-the-loop review systems with clear escalation, logging, approvals, and feedback capture.
โ€ข Partner with IT, data, and security teams to harden, secure, monitor, support, and scale successful MVPs.
โ€ข Own delivery through a structured sprint methodology, from business alignment and scoping through MVP launch and post-launch improvement.
โ€ข Monitor live workflows, analyze exception patterns, and improve rules, integrations, workflow logic, and agent behavior.
โ€ข Work directly with business process owners and subject matter experts. Iterate on real user feedback.
โ€ข Document what works and what doesn't so the approach is repeatable and systems are maintainable.
Required Qualifications
โ€ข 5-8 years in solution architecture, workflow automation, process engineering, software engineering, systems integration, or adjacent roles.
โ€ข Experience mapping business processes and designing workflows that combine automation, systems, data, business rules, AI assistance, and human review.
โ€ข Working experience with AI agents, LLM-powered workflows, or AI-assisted business processes.
โ€ข Ability to communicate across organizational levels, including business users, executives, IT, data teams, and implementation partners.
โ€ข Integration skills, including the ability to work with data from multiple systems.
โ€ข Ability to think architecturally while still being hands-on enough to build MVPs, prototypes, automations, or lightweight tools.
โ€ข Bachelor's degree in computer science, engineering, information systems, business, or related field, or equivalent practical experience.
Preferred Qualifications
โ€ข Manufacturing, industrial, commercial, finance, engineering, or operations experience preferred.
โ€ข Experience with Microsoft-based automation and AI tools, including Power Platform, Copilot Studio, Azure AI Foundry, or Azure OpenAI.
โ€ข Preferred experience with Anthropic Claude.
โ€ข Python, SQL, or scripting fluency for data manipulation, APIs, workflow logic, and custom logic.
โ€ข Experience working alongside IT, data, security, implementation partners, or consultants on shared delivery.
โ€ข Familiarity with AI governance, security, permissions, logging, monitoring, and responsible AI practices.
