Job description

Job Description:
The Financial Aid Coordinator supports both the financial aid office and the student employment program. In the Financial Aid Office, this position is the first point of contact for phone and email inquiries from students and parents alongside the Senior Financial Aid Coordinator and must be up to date on all of the current policies and requirements for financial assistance. They will also assist with the management of the W&L Loan program and its administrative coordination. The Financial Aid Coordinator also assists the Student Employment Manager in all aspects of student employment, including hiring and onboarding. In addition, they will oversee the day-to-day operations of the physical office and must be highly organized with exceptional customer service skills.

Essential Functions:
  • Serves as part of the Financial Aid Team contributing to the development and implementation of policies and procedures.
  • Along with the Senior Financial Aid Coordinator, responsible for phone coverage during office hours and returning voicemails from students and their parents; and for monitoring and responding to families from the financialaid@wlu.edu email account. Evaluates the depth and nature of expertise required and routes to the appropriate financial aid staff member if necessary.
  • Helps the Assistant Director of Financial Aid with the administration of the Washington and Lee Loan Program. This includes coordination of student Master Promissory Notes (loan paperwork), coordination of student signatures, entrance counseling, exit counseling, updating information and reporting to the university's loan servicing agent, and other administrative updates and tasks.
  • Works with the admissions office to coordinate all outgoing mailings and integrate financial aid packages with the initial acceptance mailing.
  • Coordinates the day-to-day operations of the Financial Aid Office, including purchasing office supplies and arranging office maintenance.
  • Serve as the backup for the Senior Financial Aid Coordinator and their daily tasks, including but not limited to: document verification, daily processes, updating application materials in the PowerFAIDs system, processing award letters, and processing of outside scholarships.
  • Works with students to assist with pre-employment and onboarding tasks. Updates hiring managers on onboarding process of new hires, notifying them when students are eligible to begin employment.
  • Trains and provides information to work-study and department funded students regarding time entry, payroll, direct deposit and Workday navigation.
  • Oversees the form I9/E Verify process to ensure that student employees are authorized to work. Completes section 2 of the I9, verifying I9 supporting documents and orders remote I9s for all work-study and department funded students.
  • Records paper I9s and works with students to update the I9 in Truescreen once they are issued a US SSN
  • Assists the Student Employment Manager in the student employment programs, supporting Workday and Microsoft Access processes, and provides coverage for the direct supervisor during absences.
  • Assists the Student Employment Manager in creating student employment positions, hiring students for open positions, verifying student employment eligibility and instructing students and managers regarding processes.
  • Assists the Student Employment manager in the payroll approval process. Notifies managers when payroll submissions are due and assist in the accurate completion.
  • Assists in the review and approval of summer FWS time records and academic year time records
  • Additional duties as assigned.

Work Schedule: 8:30 a.m. - 4:30 p.m. This position works 35 hours per week.
Minimum Qualifications:
  • High School Diploma required.
  • Previous experience, preferably within financial aid or student services is preferred.
  • Strong records maintenance skills.
  • High level user of personal computers and related software applications, especially Microsoft Office Suite and other applications applicable to the office.
  • Must have excellent proofreading, grammar and spelling skills. Must be detail oriented, have the ability to multi-task, and possess strong organizational skills.
  • Must be a self-starter and have the ability to work independently, as well as to communicate and interact effectively in a professional, confidential, and courteous manner with faculty, staff, students and parents.
  • Demonstrated ability to handle confidential and sensitive information. The ability to work with frequent interruptions and manage multiple projects, priorities and deadlines.
  • Previous experience in an academic setting preferred.
