JOB TITLE: Administrative Assistant
DIVISION: S nowsports
REPORTS TO: S nowsports Director
LOCATION: Ski and Ride School
CLASSIFICATION: Full Time/ Year Round / Hourly
PAY RATE: $23 - $26 DOE
POSITION:
The Administrative Assistant is a year-round position that supports the daily, weekly, and seasonal administrative functions of the entire Ski & Ride School Department, including the winter competition teams, Ski & Ride School, summer camp, adventure park, bike school, and mountain bike team program. Reporting to the Snowsports Director, this position is responsible for processing departmental payroll, communicating with staff, scheduling, and maintaining a list of department-specific priorities throughout the year. The Administrative Assistant works directly with systems such as Workday (HRIS), RTP, and Flaik for reporting and data analysis, and serves as a primary point of contact for the department by answering phones and responding to emails and text messages .
SPECIFIC JOB REQUIREMENTS:

  • High School graduate or equivalent.

  • Strong computer skills are a must

  • Attention to detail .

  • Experience compiling reports and analyzing data.

  • Previous experience in a Ski & Snowboard school environment is preferred.

  • Payroll/Timekeeping experience preferred.

  • Previous experience in Workday, Flaik , RTP systems or equivalent HR / resort management systems is preferred.

  • The ability to leverage AI tools along with other contemporary resources in order to drive efficiency and productivity.

  • Highly organized and detail-oriented, planning work in a clear and efficient way; sets priorities and balances short-term tasks with longer-term needs, adjusting as situations change to manage multiple programs and competing priorities throughout the year and stay on top of commitments so work is completed on time and to a high standard .

  • Ability to manage high-volume communication across phone, email, and text with self-awareness, composure, and empathy; understands the impact of one's words and actions on others and manages them effectively to maintain professionalism, build trust, and respond constructively in a ll situations .

  • Ability to work year-round across both winter and summer department operations.

JOB DUTIES AND RESPONSIBILITIES:
  • Support the administrative functions of the entire Snowsports Department, including the W inter C ompetition T eams, Ski & Ride School, S ummer C amp, A dventure P ark, B ike S chool, and M ountain B ike T eam P rogram.

  • Set up and maintain the Flaik staff management platform each season, ensuring that timekeeping, inventory, and staffing are properly connected to HRIS and CMS systems.

  • Work with the leadership team to build and maintain staff profiles, schedules, and department documents.

  • Support onboarding, offboarding, role changes, and compensation changes for staff throughout the season.

  • Work with the leadership team to manage staff scheduling, attendance, and adherence to policies and procedures.

  • Process timekeeping and payroll for staff across all department programs using Flaik and Workday.

  • Generate reports and analyze department data using RTP and Flaik .

  • Communicate with staff across all programs regarding scheduling, policies, and department updates.

  • Answer phones and respond to emails and text messages in a timely , professional manner.

  • Maintain department-specific handbooks, policies, and resources.

  • Maintain and update a list of department-specific priorities throughout the year.

  • Assist with organizing staff transportation.

  • Support special projects for senior leadership from time to time.
