Job description

Position Summary
WeDriveU is seeking an experienced Workday Implementation Project Manager to lead the internal coordination, governance, and execution of the company's Workday implementation. This role will manage the overall project plan and coordinate activities across WeDriveU, Workday, the implementation partner, third-party vendors, and internal business and technical teams.
The Project Manager will be responsible for keeping the implementation aligned with its approved scope, schedule, budget, governance structure, and business objectives. The role will establish clear accountability, monitor milestones and dependencies, facilitate decisions, manage risks and issues, and provide transparent reporting to project sponsors and senior leadership.
This position is intended to represent WeDriveU's interests throughout the implementation. The Project Manager must be able to challenge incomplete plans, identify gaps before they affect the project, hold internal and external resources accountable, and ensure that business readiness receives the same attention as technical configuration.
This is a fixed-term position expected to last approximately 12 to 18 months based on implementation needs. The position is expected to conclude after implementation, stabilization, project closure, and transition activities are completed.
Essential Responsibilities
• Serve as WeDriveU's internal project manager for the Workday implementation.
• Develop, maintain, and manage the integrated project plan across functional, technical, data, testing, training, change management, payroll, security, and deployment workstreams.
• Establish the project governance structure, meeting cadence, decision-making process, escalation path, and reporting expectations.
• Coordinate activities among WeDriveU stakeholders, Workday, the implementation partner, third-party vendors, and other project resources.
• Define project roles, responsibilities, deliverables, dependencies, milestones, and due dates.
• Confirm that internal business and technical resources understand their responsibilities and have sufficient capacity to complete assigned work.
• Track project progress against scope, schedule, budget, resource plans, contracts, and approved implementation objectives.
• Maintain the project schedule, milestone tracker, risk register, issue log, decision log, action log, dependency tracker, scope-change log, and project documentation repository.
• Facilitate project team meetings, workstream meetings, steering committee meetings, readiness reviews, and executive updates.
• Prepare clear status reports showing completed work, upcoming milestones, decisions required, risks, issues, dependencies, budget considerations, and corrective actions.
• Identify schedule delays, resource constraints, unresolved decisions, scope gaps, and cross-functional dependencies before they materially affect the project.
• Hold internal teams, implementation partners, and vendors accountable for agreed deliverables and deadlines.
• Manage the project's change-control process and ensure that scope, cost, timing, operational impact, and resource requirements are understood before changes are approved.
• Coordinate requirements gathering, design, configuration, data conversion, integration development, testing, training, deployment, and stabilization activities.
• Ensure project plans include sufficient time and ownership for data validation, end-to-end testing, payroll parallel testing, user acceptance testing, defect resolution, training, and operational readiness.
• Partner with the Functional Consultant and Technical Integration Lead to coordinate workstream dependencies and resolve cross-functional issues.
• Coordinate with Payroll leadership to ensure payroll requirements, testing, reconciliation, compliance, and cutover activities are fully integrated into the overall plan.
• Manage vendor dependencies and monitor third-party deliverables that may affect implementation timing or readiness.
• Review implementation partner plans and deliverables for completeness, feasibility, sequencing, and alignment with WeDriveU's business requirements.
• Monitor professional services utilization, project expenses, change orders, and potential budget impacts.
• Escalate unresolved issues and decisions through the appropriate governance structure.
• Establish clear milestone-entry and milestone-exit criteria.
• Coordinate go-live readiness assessments and ensure unresolved items have documented owners, mitigation plans, and leadership visibility.
• Develop and manage the cutover plan, including system activities, business activities, communications, validation, contingency planning, and decision checkpoints.
• Coordinate command-center activities and issue management during go-live and stabilization.
• Ensure that knowledge transfer, documentation, support ownership, and transition requirements are completed before project closure.
• Conduct project closeout activities, document lessons learned, confirm acceptance of deliverables, and transition remaining work to the ongoing support organization.
• Perform other implementation-related responsibilities as assigned.
Required Qualifications
• Bachelor's degree in Business Administration, Project Management, Human Resources, Information Systems, Finance, or a related field, or equivalent relevant experience.
• At least seven years of project or program management experience involving enterprise systems, HR technology, payroll, finance, or organizational transformation.
• Experience managing at least one full Workday implementation or a similarly complex enterprise cloud-system implementation.
• Experience managing projects with multiple functional workstreams, technical integrations, data conversion, testing, training, vendors, and executive stakeholders.
• Demonstrated ability to develop and manage detailed integrated project plans.
• Experience with project governance, risk management, issue management, change control, budget tracking, resource planning, and executive reporting.
• Experience managing external implementation partners, consultants, and third-party vendors.
• Strong understanding of enterprise implementation lifecycles and dependencies.
• Ability to facilitate decisions and resolve issues involving competing business priorities.
• Strong written, verbal, facilitation, presentation, and stakeholder-management skills.
• Strong analytical, organizational, and problem-solving abilities.
• Ability to manage multiple priorities and maintain attention to detail in a fast-paced implementation environment.
• Proficiency with project management and collaboration tools.
Preferred Qualifications
• Project Management Professional certification, Program Management Professional certification, or comparable project management credential.
  • Spanish fluency is preferred.

• Workday implementation methodology experience or formal Workday project management training.
• Experience managing a Workday HCM, Payroll, Time Tracking, Recruiting, Benefits, or Financial Management implementation.
• Experience managing the transition from ADP or another enterprise HR and payroll platform to Workday.
• Experience supporting a complex, geographically dispersed, multi-state, hourly, or frontline workforce.
• Experience in transportation, union, or regulated operating environments.
• Experience with payroll parallel testing, data conversion, change management, end-user training, cutover, and post-go-live stabilization.
• Experience establishing an internal governance and support model following implementation.
Workday certification is preferred but not required. Access to Workday certification is often limited to individuals with prior employment at a Workday customer or partner, so equivalent hands-on Workday experience will be considered in place of formal certification.

Fixed-Term Employment
This position is being established to support WeDriveU's Workday implementation and is expected to remain active for approximately 12 to 18 months. The actual duration may vary based on implementation requirements, project timing, stabilization needs, and business circumstances. This position is not intended to become a permanent role and is expected to conclude after the assigned implementation and transition responsibilities are completed.
