Job description

Federal Work-Study positions are part-time positions hired each semester and are for current Ivy Tech students.
The Student Advising Work-Study plays a critical role in supporting the advising team and enhancing the overall student experience. This position is ideal for students who wish to develop strong administrative, communication, and customer service skills while contributing to the success of their peers. The Student Advising Work-Study will provide clerical and administrative support, assist with scheduling and organizing events, and help students navigate advising processes.
MAJOR RESPONSIBILITIES
Appointment Scheduling & Coordination:
  • Help students schedule appointments with academic advisors, ensuring proper documentation and follow-up.
  • Assist with the coordination of group advising sessions or workshops, including preparing materials, sending reminders, and ensuring student participation.
  • Provide reminders to students regarding upcoming appointments, deadlines, or required actions.

Student Support:
  • Greet students and visitors in a friendly and professional manner, providing excellent customer service.
  • Direct students to appropriate resources or departments for additional academic or student support services.
  • Assist in tracking student progress, helping them understand their degree requirements, and referring them to the appropriate advisor when needed.

Office Organization & Clerical Tasks:
  • Maintain tidy and organized office spaces, ensuring all advising materials are up to date and accessible.
  • Prepare and distribute newsletters, flyers, or event announcements about advising events and services.
  • Assist with data entry and organization of advising-related materials, including academic policies, degree worksheets, and other student resources.

Special Projects & Event Support:
  • Help with the coordination of special projects, such as orientation sessions, advising fairs, or workshops on academic planning, major selection, and transfer processes.
  • Provide support for advising office outreach efforts, including creating promotional materials and managing event logistics.

Starting Salary Range: $15.00 per hour
Classification: Work-Study
General Qualifications:
  • No prior experience is required, though customer service or office support experience is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and communication skills, with a positive and approachable attitude.
  • Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to maintain confidentiality and handle sensitive student information.

Minimum Federal Work Study Qualifications:
  • Must have a high school diploma or equivalent.
  • Student must have completed the current FAFSA on file demonstrating financial need.
  • Maintain a minimum of 1 credit hour or more of enrollment in eligible courses.
  • Maintain an aid-eligible Satisfactory Academic Progress (SAP) status.
  • The student cannot have any incomplete financial aid requirements.
