Job description

The Special Events Work Study will help with the planning and execution of events orchestrated by the Office of Special Events. These events can include cultural programs, weddings, institutional anniversaries and celebrations, annual employee events, major fundraisers and many more special events.

Student worker positions provide valuable on-campus employment opportunities that support departments while helping students develop professional skills. These roles are intended to enhance the student experience through meaningful work aligned with academic and career interests.

Minimum Qualifications
  • Excellent written and verbal communication skills.
  • Must be available nights, weekends, and breaks to assist in person on event days; dates are pre-scheduled.
  • Available at-minimum 6-hours a week for in office work in addition to event coverage.
Characteristics Preferred
  • The ideal candidate is adaptable and ready to "jump in" wherever needed during events, approaching every task with a customer service mindset and positive attitude. They should be eager to learn new skills, take on a variety of responsibilities, and demonstrate reliability in delivering high-quality work. Strong attention to detail, professionalism in interactions, and a willingness to support the team in fast-paced situations are essential for success in this role.
Preferred Qualifications
  • 2+ years experience in customer service related fields
  • Desire to build knowledge and experience in the event industry
Working Conditions and Physical Requirements
  • Lift up to 25lbs
  • Work on your feet for extended periods of time
  • Works with the Office of Special Events staff in the planning and implementation of special events
  • Plans events under the supervision of the Assistant Director which includes maintaining a budget, collaborating with offices on campus, managing additional event support students, conducting surveys, creating and implementing a marketing plan and executing day of planning services
  • Assist in the scheduling of on campus events through the use of AdAstra and Saints Connect
  • Ability to be trained and become sufficient in the following event related software programs; Social Tables, SchoolDude, Qualtrics, Ad Astra and Saints Connect
  • Ability to be trained and become sufficient in Microsoft Word programs, specifically Word - Mail Merging and Excel
  • Communicate with community members, vendors, college donors, faculty and staff in a courteous and clear manner
  • Conducts research on event ideas and best practices
  • Attends and participates in regular meetings in order to facilitate communication and clarify roles and logistics
  • Communicates with vendors regarding specialist items
  • Collaborates with the marketing office to develop a communication plan regarding special projects
  • Responds to unanticipated situations and shift priorities at a moments notice in a fast paced office environment remaining calm in challenging situations
  • Performs basic office work such as filing and creation of materials
  • Helps prepare and strategize the office to prepare for upcoming events
  • Ability to maintain confidentiality in regards to topics discussed in the office
