Position Summary:
We have an exciting opportunity to join our team as a Space Management Coordinator 
Reporting to the Assistant Director of Space Planning and Management, the Space Management Coordinator is responsible for the production of planning and predesign studies that meet a broad range of NYULHS objectives. This role is also responsible for the upkeep of enterprise drawing files, survey and documentation of newly acquired and leased sites, and assisting in drawing integration to Space Planning + Managements IWMS/CAFM system. The Space Management Coordinator will have a dotted reporting line to the Senior Manager Space Data.

The Space Management Coordinator shall be highly organized and motivated, and capable of working on several initiatives simultaneously. Knowledge of medical equipment, commercial office furniture systems and standards, and experience with 3D modeling software for conceptual planning and predesign studies is highly desirable. Strong oral and written communication skills, analytical skills and creative vision are required. The ability to work with a broad range of institution clients and develop positive client relations is required. The ability to partner closely within Campus Planning members and RED+F units in a collaborative team environment, and have a proactive approach to the definition and production of work products is essential.

Job Responsibilities:

  • Provide necessary support to Space Planners in their managing space requests, space programs and space allocations

  • Conducts space audits, provides guidance regarding space utilization, track MAC (move-add-change) scenarios, and ensure completion of From-To lists 

  • Initiate and manage communications internally within RED+F and externally to obtain pertinent information to update space inventory database 

  • Support the Campus Planning Office in developing and producing reports and plans for test-fits and feasibility studies for space planning or capital projects

  • Ensure completeness and accuracy of the Space Inventory to reflect current real estate portfolio

  • Support the building, maintenance and update of the NYULHS Space Inventory, integrating CAD documents and a relational database of properties owned or leased by NYULHS.

  • Assist RED+F in general space planning, space information management and reporting in the context of NYULHS' overall strategic plan

  • Field measure new properties (owned and leased), inspect, verify and confirm existing conditions, gather all related and required information necessary to document into AutoCAD drawings

  • Develop, revise and standardize AutoCAD drawings in compliance with RED+F SP+M Design Guidelines. 

  • Propose, develop a logical sequence approach to room numbering that will serve as a wayfinding tool for building users, as well as method of identifying space for planning, scheduling and other operational purposes. Act as resource to other SP+M members on room numbering efforts.

Minimum Qualifications:

  • A Bachelor's Degree or equivalent
  • Three years' experience with Computer Aided Design (CAD).
  • Knowledge of Computer-Aided Facility Management (CAFM) and/or database management required.
  • Experience with academic, healthcare, research facility/laboratory, or space planning preferred.
  • Must be fluent in relevant software and possess excellent communication skills and graphic proficiency. 
  • Some understanding of RDBMS (Relational Database Management Systems) is key to job performance.
  • Basic Qualifications; Archibus/Overlay v. 14, AutoCAD 2000 or above, MS Access, MS Excel.
  • Ability to maintain a close attention to detail and multi- task in a fast-paced environment.
  • Ability to work with a broad range of institution clients and develop positive client relations
  • Ability to partner closely within Campus Planning members and RED+F units in a collaborative team environment, and have a proactive approach to the definition and production of work products
  • Strong oral and written communication skills, analytical skills and creative vision are required.
