Job description

JOB PURPOSE:

Performs day-to-day payroll, insurance and business office functions of the facility in accordance with established procedures, and as directed by the Administrator.

KEY RESPONSIBILITIES:

  1. Completes employee payroll according to corporate procedures.

  2. Balances payroll account upon receipt of monthly bank statement.

  3. Completes and tracks employee deductions and enters in payroll

  4. Completes master file forms for all new employees and forwards to Corporate Office with payroll

  5. Enters new employees into automated time clock.

  6. Prints employee time cards for each pay period.

  7. Makes necessary corrections and or adjustments to employee time cards upon verification by authorized supervisor.

  8. Ensures proper filing and handling of all information which is in employee personnel and information files.

  9. Completes and tracks all employee data changes and forwards to Corporate Office with payroll

  10. Completes wage requests when accompanied by signed release from employee/former employees.

  11. Answers all job reference requests according to facility policies and procedures.

  12. Responsible for separation and termination papers and the mailing of such.

  13. Maintains rehire eligibility status files on former employees.

  14. Maintains complete files on all employees including personnel, information, physicals, evaluations, immunization, etc.

  15. Completes all reports per deadlines as required by the Corporate Office.

  16. Responsible for consolation and distribution of bi-monthly paychecks.

  17. Completes Targeted Tax Job Credit information on new employees per Corporate Office.

  18. Records and tracks Family Medical Leave on employees.

  19. Records and tracks paid time off (PTO) on all employees.

  20. Covers Receptionist duties when needed.

  21. Verifies all time cards and sign sheets for accuracy in preparation for payroll

  22. Maintains confidentiality of all information in accordance with the Privacy Act, as well as, established personal policies governing the release of information.

  23. Monitors workers compensation claims and coordinate work between employee and insurance carrier.

  24. Verifies nurses and nurse aide data to the Nurse and Nurse Aide Registry on a routine and timely basis.

  25. Maintains attendance, PTO schedules and record employee earning notice, counseling and other disciplinary action.

  26. Types documents, reports, letters, etc., at least 50 words per minutes with high accuracy. Remain at repetitious tasks for long periods of time while completing paperwork, etc.

  27. Creates and maintain an atmosphere of warmth, interest, and optimism in the needs of residents, families, visitors, and ad staff.

  28. Develops, encourages, and maintains good communication between and among departments, residents, staff, visitors, etc.

  29. Maintains strict confidentiality on all payroll and personnel data.

  30. Maintains privacy of records, conditions and other information relating to residents, employees and facility.

  31. Performs assigned tasks in accordance with policies and procedures and as instructed by the Administrator.

  32. Complies with established universal precautions and isolation procedures.

  33. Operates copier, office machines, computer/word processor, etc. As directed.

  34. Prepares and distributes time cards and payroll checks.

  35. Assists in reporting and resolving complaints and grievance from residents, families, visitor and employees.

  36. Keeps supervisor informed of daily activities, and issues. Proposes solutions to all issues.

  37. Follows all company policies and procedures, state and federal laws and regulations and charged with reporting violations to the appropriate supervisor

MINIMUM EDUCATION REQUIRED:

High school diploma or equivalent

MINIMUM EXPERIENCE REQUIRED:

Six (6) months experience in payroll, insurance and/or clerical position.
