Wind Project Assistant, Renewables Division
Westwood Professional Services, Inc.
The Project Assistant (PA) for the Renewables Division is responsible for ensuring data integrity, document management, and implementing best practices on projects. The PA provides administrative and professional support to Project managers to ensure the success of projects. This role may involve working on billable and non-billable projects, with opportunities for project management training and development.
Requirements
  • Maintain accurate data within the Deltek Vantagepoint database system, including project set up, reporting, and auditing.
  • Collaborate with Corporate Services and Project Managers to provide support with contracts, proposals, and prequalifications.
  • Coordinate the production of proposals based on direction from Project Managers.
  • Track project performance using various tools and project reports as directed by Project Managers.
  • Complete the process for work orders, task orders, and statements of qualification, including tracking compliance items, coordinating involved parties, and finalizing signatures.
  • Provide document backup for invoicing and collections.
  • Organize project stakeholder meetings, document meeting proceedings, and follow up on action items.
  • Proofread proposals and reports for consistency and grammar.
  • Support Professional staff with licensure efforts and state compliance requirements.
  • Perform tasks such as transmittals, printing, and scanning.

Contacts / Direction:
  • Detailed direction given by multiple project managers and supervisor.
  • Close collaboration with project managers, assistant project manager, project teams, other project assistants, and division administrative coordinator

Success Measures:
  • Data integrity of Deltek Vantagepoint database system.
  • Completion of requested tasks in a timely and accurate manner.
  • Initiative to seek out tasks and coordinate support with project manager.
  • Project manager and project team satisfaction.

Required Skills and Qualifications:
  • Bachelor's degree preferred or equivalent job-related experiences and training
  • Effective written communication skills
  • Detail-oriented with strong organizational skills
  • Capacity to independently manage multiple projects/assignments, determine and set job priorities, and work in a collaborative team environment
  • Ability to communicate effectively with employees at all levels of the organization
  • Proficiency with Microsoft Office Suite

Preferred Skills and Qualifications:
  • Experience working in a professional services environment • Familiarity with VantagePoint data entry and best practices.
  • Experience in the renewable energy industry a plus.
  • Experience providing contract and subcontracting support.
  • Knowledge of licensing processes and requirements.
  • Ability to participate in workload meetings and coordinate prequalification efforts.
  • Familiarity with accounts receivable coordination and client accounting.
  • Experience with project management software and generating progress reports.
  • Location = Office based (in a Westwood office)
  • Lifting / Moving / Standing = typical for a non-physical, office-based role
  • Personal Protective Equipment (PPE) required = None
  • Travel = Little to no travel expected
