PRIMARY FUNCTION:  The Donor Prospect and Database Manager ) is a key member of the Resource Development team, providing essential high quality philanthropic intelligence and analysis for strategic and data driven fundraising. This individual creates concise, accurate wealth capacity ratings, strategy briefings, and prospect profiles using biographical information, financial data, news, philanthropic history, and other publicly available resources to support BGCTNV’s strategic priorities. This position participates in various fundraising initiatives, prioritizing research needs to advance the organization’s mission. The Donor Prospect and Database Manager proactively and independently plans and executes strategies to identify sources of major gift support using innovative research techniques and electronic searching methodologies to ensure that fundraising initiatives have sufficient prospects to meet fundraising goals. This position utilizes research tactics to ensure that newly identified prospects are presented and assigned to appropriate fundraisers in a timely manner.   

KEY ROLES (Essential Job Responsibilities):

Donor Prospect

  • Identify, research, and analyze information to create biographical and financial profiles on current donors, prospects, and suspects in support of solicitation strategies.
  • Engage vast amounts of publicly available information and wealth indicators to evaluate and identify new leads to build pipelines. This includes understanding capacity through financial analysis. 
  • Provide philanthropic intelligence in formats that are relevant to the gift and the audience.
  • Serve as the content expert for all gift levels across the organization to optimize portfolios for gift officers to be a strategic partner at the organizational level.
  • Manage, track, and assign suspects and prospects by implementing BGCTNV’s moves management system to maintain healthy, balanced, and successful portfolios. Also included are quality assurance and data integrity procedures for accuracy in projections and reporting.
  • Develop and maintain a familiarity of BGCTNV’s top prospective donors and proactively share information across the team to undergird strategy conversations.
  • Track trends in philanthropy and fundraising to promote a best-in-class development office.
  • Perform other duties as assigned.

Database Management 

  • Own and maintain Raiser’s Edge / RE NXT as BGCTNV’s system of record for all fundraising activity across individual giving, institutional philanthropy, events, and regional development.
  • Develop and enforce data entry standards, gift processing workflows, and documentation protocols for the full Resource Development team.
  • Conduct regular data audits to identify and correct errors, inconsistencies, and gaps in constituent records.

  • Build and maintain automated workflows in RE NXT that trigger Actions when donors give or are added to portfolios; manage portfolio entry logic based on defined gift thresholds.
  • Partner with Executive Directors and club staff to maintain Actions in Raiser’s Edge within required timeframes
  • Distribute weekly thank-you call lists, monthly gift officer and Executive Director KPI dashboards, and supporting data for quarterly Portfolio Review Meetings and ED/Ops/RD alignment sessions.
  • Build and maintain reporting logic for core KPIs: portfolio composition, engagement coverage, meaningful action cadence, lifecycle distribution, opportunity pipeline health, and stewardship completion.

SKILLS/KNOWLEDGE REQUIRED:

  • Bachelor's degree from an accredited college or university
  • Three-five years of relevant experience with online database search techniques for products such as WealthEngine, Relationship Science, Foundation Directory Online, and other personal wealth and financial databases.
  • Demonstrated proficiency with a CRM, preferably Raiser's Edge and/or RE NXT, including gift processing, workflow configuration, constituent management, and reporting.
  • Knowledge of the Boys & Girls Club movement preferred
  • Strong organizational and time management skills with exceptional attention to detail
  • Must be able to take initiative, be self-motivated, and function both independently and in a team environment, coupled with the ability to make decisions and maintain professional and open communication with supervisor
  • Knowledge of accessing and utilizing Raiser's Edge

  • Ability to establish and maintain effective working relationships with Club staff, board members, volunteers, community groups, and other related agencies
