Position Summary:
West Hartford Public Schools seeks to fill a position for a full-time secretary in the Human Resources Office. This is a 12-month position with full benefits.
Qualifications:
  • Prior secretarial experience required.
  • Ability to handle multiple tasks in a fast-paced environment.
  • Strong interpersonal and problem solving skills; ability to work with confidential information and attention to detail.
  • Excellent organizational, verbal, and written communication skills.
  • Proficient computer skills including Google Docs, Google Calendar, Microsoft Office 365.
  • Knowledge of Frontline, AESOP, Munis, and TalentEd preferred.

Duties: Duties for this position include, but are not limited, to the following:
  • Provide secretarial support to the Executive Director of Human Resources.
  • Track resignations and retirements.
  • Initiate hiring process (prepare job postings and post to internal and external websites, track internal applicants, arrange interviews, management of pre-employment forms in Frontline, follow up on outstanding items, etc.).
  • Order, receive, and maintain office supplies.
  • Prepare and process memos, letters, documents, reports, etc.
  • Complete larger annual projects such as the Staff Directory, Teacher Career Fair, New Staff Orientation, and yearly file digitization.
  • Assist with processing of tuition reimbursement payments.
  • Track and reconcile monthly purchasing through Munis.
  • Process staff attendance through Frontline and Munis.
  • Set up users in Vector for mandatory trainings and assist staff with technical issues.
  • Provide additional secretarial support as needed to the Human Resources Office.
