Job description

Retreat Sales Executive at Hale Akua Garden Farm & Eco Retreat Center ensures guests receive the best service possible from the property. You provide guests with their requested room, address their needs, and resolve any complaints they may have throughout their stay. As part of the sales team you are responsible to develop and foster business through pro-active and reactive sales, telemarketing, appointment calls and property tours of the retreat center. Also develops strategic action plans for Hale Akua to drive measurable, incremental retreat sales revenue.

  • Check Emails, Texts and Slack messages for internal conversations including retreat related guest requests, maintenance needs, housekeeping needs, landscaping needs.
  • Learn and understand about Hale Akua lodging and venue facilities and be able to clearly explain about the facilities to retreat leaders how they can best utilize Hale Akua amenities for their specific needs.
  • Be a concierge for retreat leaders considering Hale Akua for hosting their group retreat and work with them creatively to help plan, organize and execute everything necessary for retreats and programs from start to finish.
  • Cultivate relationships with Hale Akua’s top retreat accounts and organizations across Hawaii and mainland as part of active sales. Be a concierge for them in hosting their group retreat.
  • Actively explore, cultivate and grow relationships with retreat groups and teachers locally, nationally and internationally in order to create partnerships and expand business, as part of active sales. Requires sales prospecting cold calling.
  • Provides retreat leaders with excellent customer support while ensuring proper follow ups. Handles retreat inquiries coming through the website and over the phone as part of reactive sales. Closely following up on all retreat inquiries within a 24-hour response time and adhering the follow up process for all retreat leads.
  • Works with the retreat leaders creatively and plan, organize and execute everything necessary for retreats and programs from start to finish.
  • Execute and support the operational aspects of business booked (e.g. generating proposal and quotes, writing contract, customer correspondence) Performing all necessary accounting functions on Retreat Guru PMS including but not limited to adding charges on guest statements, taking payments, moving transactions, final reconciliation to ensure final payments match contracted amounts and updating tracking spreadsheet.
  • Take potential retreat leaders on property tours for their upcoming retreats and answer any questions they might have in regards to the lodging and venue facilities.
  • Coordinates with the housekeeping organizer, maintenance team, and other support staff, to ensure rooms and property is ready for a high standard of service that also reflects the hospitality of Hale Akua.
  • Conduct pre-retreat meeting with all department heads, to go over essential retreat specifications and ensure all teams are on the same page on how to get ready for welcoming the group.
  • Help the guest service team with retreat checkin by being present on the check-in day and helping with reg forms, group orientation tours etc.
  • Administers processes and practices to ensure retreat leader satisfaction. Manage retreat evaluation process and respond to concerns. Solicit retreat leader feedback and support leader-staff interface.

Requirements

  1. Graduate with a Bachelors degree
  2. Excellent written and verbal communication skills.
  3. Highly developed relationship skills, including the ability to see and appreciate other points of view.
  4. Detail-oriented, highly organized, customer-centric and resourceful with the ability to prioritize, problem solve and take initiative.
  5. Adept in the use of Zoom, Slack, Outlook, Google Drive, MS Office, particularly Excel and Word, and web-interface systems.
  6. Able to quickly learn and adapt to Retreat Guru property management system for daily retreat management.
  7. Ability to inspire and motivate, as well as to collaborate and build strategic relationships.
  8. Demonstrated ability to manage multiple projects simultaneously and able to switch gears and work on and off computer as and when needed.
  9. Currently needs to be living in Hawaii and be willing to relocate to Maui if not already on island
  10. Adhere to the retreat sales follow-up process for all sales inquiries.
  11. Be available and present to schedule and facilitate property tours for retreat leaders as and when necessary.
  12. Be available and present on property for retreat check-in dates to help facilitate check in for retreat participants and check-out dates to get feedback from retreat leaders and offer retreat promotions for next retreat.
  13. Be available and present Monday, Wednesday and Friday for the shift; and weekends if theere is a retreat check-in or check-out
  14. Be available and present to facilitate pre-retreat meetings at least 3 days prior to the retreat
  15. Be available to receive calls directed to your office phone to assist retreat inquiries.

Benefits

$25-27 per hour (Salary as per experience. Paid Time Off - Includes sick days. Use of salt water pool, hot tub and sauna facilities after work hours when not busy with guests. Good performance related bonuses too. Opportunities for staff who teach their own classes are available in our yoga room when it is not booked by guests.
