Summary

The Front Desk Administrative Assistant provides clerical support, administers parking and access cards, and assists with ongoing and one-time special projects. Working onsite from Monday to Friday from 8am to 5pm, the Front Desk Administrative Assistant is the friendly first point of contact for individuals visiting or calling BlueStone's head office in downtown London.

DUTIES

Front Desk

  • Provide a warm and professional welcome to visitors, contractors, tenants, and team members
  • Answer, screen, and direct calls through a multi-line phone system
  • Respond to general inquiries or connect people with the appropriate team member
  • Sort and distribute incoming mail and assist with couriers, scanning, photocopying, faxing
  • Maintain front desk flowers and ensure reception, boardroom, kitchenette, and lunch areas are tidy and stocked with refreshments and snacks

Property Management Assistance Duties

  • Administer access cards for commercial properties, including issuing cards, updating users, maintaining records, and managing contractor access
  • Support parking administration, including parking records, tenant files, waiting lists, distribution lists, invoices, receipts, correspondence, and follow-up on outstanding parking payments
  • Maintain accurate logs and tracking spreadsheets related to parking, access cards, work orders, keys, and other property-related records
  • Enter and update work orders using Yardi FM and provide backup work order entry support when needed
  • Assist with purchase orders, chargeback invoices, maintenance coordination, daily security report reviews, and communication with operations team members or custodial staff

Requirements

  • 1 to 2 years of experience in similar administrative, reception or office support role
  • Proficient with computer and multi-line phone systems
  • Exceptional customer service and interpersonal skills
  • Excellent verbal and written communication skills
  • Intermediate knowledge and ability in Microsoft Office (Word, Outlook, Excel)
  • Strong organization, time management, accuracy and follow through
  • Demonstrated proficiency in word processing, data entry and spreadsheet creation
  • Criminal background check will be required for the successful candidate (paid by BlueStone)
