Job Description:

This recruitment will be used to fill one part-time (maximum of 20 hours per week) Student Project Assistant position for the Office of VP for Research at Oregon State University (OSU).

This position will assist the Operations Manager and the Administrations, Finance and Operations team with administrative duties, special projects, and operational tasks. The Project Assistant will be a crucial role to support the operations of the Division of Research and Innovation.

Position Duties:

40% Administrative Support

  • Support and update office standard operating procedures and manuals

  • Work with cross functional teams to update and maintain Onboarding and offboarding processes

  • Collaborate with leadership team and HR teams to communicate updates and opportunities for Employee and supervisor training

  • Streamline the new employee search processes to ensure all candidates are communicated with

  • Participate in office improvement work groups

  • Maintain specific Division of Research and Innovation webpages

  • Update employee communication expectations as well as other division wide procedures

  • Plan employee appreciation events and activities

  • Collaborate with leadership team to host events in person and remotely to increase staff engagement

  • Assist with calendar organization and scheduling for shared spaces and the Operations Manager

40% Operational Support

  • Assist with the receipt, documentation, and processing of financial checks to ensure accurate and timely deposits in accordance with university financial procedures

  • Support Buyer with invoice reconciliation and other duties

  • Assist with office updates (office moves, office remodels, organization, facilities updates)

  • Assist with projects as needed

10% Office Improvement Projects

  • Assist the Operations Manager in continued improvement to the Division of Research and Innovation

10% Other Duties as Assigned

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study

  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment

  • Must meet the applicable minimal enrollment standard

    • High School student: Regularly enrolled in a high school or participating in a home-schooling program

    • Undergraduate and post-baccalaureate student: 6 credit hours per term

    • Undergraduate international student: 12 credit hours per term*

    • Graduate student officially admitted to Graduate School: 5 credit hours per term

    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*


*International students may be allowed to carry fewer hours than specified above and still be considered "full-time" by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by theOffice of International Services(OIS), and must be provided to the Student Employment Center.

Required Qualifications:

  • Strong attention to detail and organization

Working Conditions/Schedule:This position is expected to work between 10 and 24 hours per week in the office within standard business hours Monday through Friday.
