Job description

We are seeking an experienced Senior Business Analyst to support the implementation of a comprehensive research administration software suite at Beth Israel Lahey Health (BILH). Our healthcare network is moving from disparate legacy systems to a single, integrated research administration platform. This system will encompass pre-award and post-award grants management, contracting, Institutional Review Board (IRB), Institutional Animal Care and Use Committee (IACUC), Institutional Biosafety Committee (IBC), and other research administration functions. The Senior Business Analyst will serve as a critical liaison between stakeholders and the technical implementation team, closely collaborating with the project sponsors, key stakeholders, and subject matter experts to ensure the solution meets institutional needs while supporting regulatory compliance and operational excellence. Post-implementation, this position will support the ongoing process improvement, system maintenance and adaptation, and training.

Job Description:

Essential Responsibilities but not limited to:

Requirements Gathering & Analysis

  • Conduct interviews with key stakeholders across BILH hospital sites to understand current workflows and future-state requirements
  • Document and analyze existing processes from disparate legacy systems.
  • Translate business needs into detailed functional requirements.
  • Identify opportunities for process improvement, standardization, and consolidation as BILH transitions to a single system.

System Configuration & Design Support

  • Collaborate with technical teams and vendor consultants to configure the research administration suite to meet institutional requirements across the BILH network.
  • Participate in system design sessions to ensure workflows align with academic medical center operations and regulatory requirements.
  • Review and validate system configurations, integrations with existing systems (ERP, HR, finance, e.g. Workday, Epic, iLabs, etc.), and data migration strategies from multiple legacy platforms.
  • Support development of custom reports, dashboards, and analytics capabilities.

Process Design & Optimization

  • Map and document current and future-state business processes.
  • Ensure processes support compliance with federal regulations (NIH, NSF, FDA, OMB Uniform Guidance, etc.) and institutional policies.
  • Recommend process improvements that leverage system capabilities while maintaining regulatory compliance.

Testing & Quality Assurance

  • Develop test plans, test cases, and test scripts for system functionality and integrations.
  • Coordinate and conduct user acceptance testing (UAT) with key stakeholder groups across the BILH network.
  • Document test results, track defects, and verify issue resolution.
  • Validate data accuracy following migration from multiple legacy systems.

Stakeholder Communication & Project Support

  • Maintain regular communication with project sponsors, steering committee members, implementation partners, and end users across BILH hospital sites.
  • Prepare status reports, presentations, and documentation for various audiences in accordance with the implementation communication plan.
  • Facilitate meetings and working sessions to drive decision-making and issue resolution.
  • Support project management activities including timeline tracking and risk identification.

Required Qualifications:

  • Bachelor's degree in Business Administration, Information Systems, Healthcare Administration, or related field
  • 5-8 years of business analysis experience
  • Experience with enterprise software implementations or large-scale system projects
  • Proven ability to gather requirements, document processes, and translate business needs into technical specifications
  • Excellent analytical, problem-solving, and communication skills
  • Proficiency with process mapping tools and MS Office suite

Preferred Qualifications:

  • Experience in healthcare, higher education, or research administration environments
  • Familiarity with grants management, research compliance, or sponsored programs
  • Knowledge of research administration platforms (e.g., InfoEd, Cayuse, OnCore, CLICK)
  • Project Management Professional (PMP) or Certified Business Analysis Professional (CBAP) certification
  • Experience with Workday and/or other ERP system integrations

Work Environment:

This position will work collaboratively with cross-functional teams including IT, research administration, compliance, finance, and clinical departments across the BILH network. The role requires flexibility to accommodate project timelines and may include occasional evening or weekend work during critical implementation phases.

Pay Range:

$120,000.00 USD - $160,000.00 USD

The pay range listed for this position is the annual base salary range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law.
