Job Title: Medical Records Specialist
Location: Deer Valley (I-17 & W Pinnacle Peak RD)
Compensation: $18.00 to $19.00 per hour
Employment Type: Full time with Benefits (medical, life, dental, vision, and 401K)
Schedule: Monday through Friday; 8:00 am to 4:00 pm (NO nights, NO weekends, and NO major holidays!)

The Medical Records Specialist is responsible for overseeing all functions within the Medical Records Department, ensuring accurate handling and protection of patient health information in compliance with HIPAA regulations. This role involves requesting, transmitting, and uploading medical records to both the company's local server and EMR system. This position reports directly to the Scheduling Manager.
Responsibilities:
  • Demonstrate foundational skills in medical administration
  • Ensure full compliance with HIPAA (Health Insurance Portability and Accountability), OSHA Standards, and Envita Employee Handbook
  • Knowledge of clinic's EMR (from navigating patient charts to uploading documents)
  • Utilize all internal communication platforms effectively - Microsoft Teams, Email, Calendar, Planner, SharePoint, phones, Dayforce, etc.
  • Ability to organize, prioritize, multitask, think proactively, self-initiation
  • Respond efficiently to real-time updates, requests, and workflow changes
  • Communicate respectfully and clearly across departments to keep relevant staff informed
  • Foster collaboration within the department by updating team members on progress and task assignments
  • Tasking - assign, review, follow through, complete
  • Contribute to a positive, team-oriented work environment that supports productivity and morale
  • Stay informed on evolving workflows and procedural updates
  • Retrieve and process all requested medical records accurately and promptly
  • Monitor and follow up on pending record requests to ensure timely completion
  • Upload documents and imaging discs into designated systems with precision
  • Report any situations that need additional support to the Scheduling Manger
  • Any additional assignments as tasked/assigned by the Scheduling Manager
Required Qualifications:
  • High school diploma or equivalent qualifications
  • 1 years+ experience in a similar role
  • Advanced understanding of medical terminology and administration processes
  • Proficient in information management programs
  • Outstanding communication and interpersonal abilities
