Job Description

The University of Nevada, Reno is seeking a highly organized and detail-oriented Administrative Assistant 4 to support the federally funded TRIO Upward Bound (UB) and Upward Bound Math and Science (UBMS) programs. ** This position does not provide layoff rights and is contingent upon funding.** These programs are dedicated to helping first-generation and income-eligible students prepare for and succeed in higher education. This position plays a critical role in ensuring the smooth day-to-day operations of programs that make a meaningful impact on the lives of Nevada students.

What You'll Do

As the senior administrative operations specialist for the UB/UBMS programs, you will serve as the primary resource for fiscal and administrative operations across four federally funded TRIO grants. Working independently, you will oversee complex business operations while ensuring compliance with University, state, federal, and U.S. Department of Education regulations.

Responsibilities include, but are not limited to:

  • Manage the fiscal and administrative operations of four federally funded TRIO Upward Bound grants.

  • Coordinate business operations, human resources administration, purchasing, travel, payroll, and financial transactions.

  • Monitor grant budgets, analyze fiscal data, and provide recommendations to program leadership to support informed financial and operational decisions.

  • Maintain enterprise data management systems and ensure the accuracy and integrity of program records and reporting.

  • Prepare and coordinate required federal, state, and institutional reports, including statistical and grant compliance reporting.

  • Develop, implement, and continuously improve administrative procedures and business processes to enhance program efficiency.

  • Ensure compliance with University policies, federal grant requirements, and U.S. Department of Education regulations.

  • Collaborate with program leadership, campus partners, and external stakeholders to support the successful administration of the TRIO programs.

Essential Qualifications

  • Graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR

  • One (1) year of experience as an Administrative Assistant III in Nevada State service; OR

  • An equivalent combination of education and experience as described above.

This position requires a valid driver's license and experience with Microsoft Office Suite (advanced Excel, Word, Outlook, Teams).

Preferred Qualifications

Candidates with a Bachelor's degree in business and/or personnel management are encouraged to apply.

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; however, this position may require occasional evenings and weekends for which schedule flexibility will be provided. This is subject to change based on organizational needs.

Compensation Grade

Grade 29

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate's qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.

Department Information

The TRIO Upward Bound and Upward Bound Math-Science Programs (UB/UBMS) are housed within the University of Nevada, Reno's First-Generation Student Center (FGSC), which serves as the university's hub for first-generation student success, college access, and educational opportunity initiatives. UB/UBMS are designed to help first-generation and/or income-eligible students develop the skills, knowledge, and motivation necessary to succeed in high school, enroll in postsecondary education, and graduate from college. The programs provide comprehensive academic support, college and career advising, tutoring, leadership development, financial literacy education, college exposure experiences, and summer academic programming designed to increase high school graduation, college enrollment, and postsecondary completion rates.

The department currently administers four TRIO grants serving 246 students across Washoe and Lyon Counties. Through partnerships with local school districts, community organizations, university departments, and families, UB/UBMS creates pathways to higher education and supports students in achieving their academic, career, and personal goals.
