Job Description Summary
Job Description
We have an opening for a Specialist, Business Development Events in our New York office.
The Specialist, Business Development Events will:
  • Plan, manage and execute client facing business development events, as well as internal events as requested;
  • Strategize with the business development team to conceptualize and source ideas and venues for client development events;
  • Handle all aspects of event logistics including coordinating with any vendors, key internal and external stakeholders, invitations, email communications, confirmations and post-event follow up;
  • Assist with the firm's annual partner meeting;
  • Create and manage event specific budgets, timelines and milestones for events;
  • Conduct domestic and international venue research;
  • Book and source venues and vendors, negotiate with providers, handle all event contracts and terms, manage resources, coordinate logistics before, during and after events and programs;
  • Provide updates to key internal stakeholders on attendance, deadlines and deliverables;
  • On-site event management and post-event follow-up including final cost reporting, follow-up correspondence and activity tracking;
  • When applicable, work with the internal Conference Center and/or Caterer and IT to coordinate logistics including catering/menu selections, booking of appropriate rooms/layout, day-of staff assistance, Audio Visual set-up, etc. for internal office events;
  • Coordinate all event details including decisions about menu, décor, entertainment, security, photography, videography, and agenda;
  • Organize events in conjunction with conference sponsorships;
  • Must be willing to work weekends and evening hours at event venues to ensure logistics are running smoothly;
  • Must be willing to travel when necessary; and
  • Handle additional related projects as assigned.

Proficiencies:
  • Proficiency in contract negotiations and terms;
  • Experience working with production companies, DMC's and hotels and supporting large conferences;
  • Outstanding project management skills and ability to execute projects in a manner that keeps all stakeholders aware of progress, developments, challenges and opportunities;
  • Excellent verbal and communication skills, including attention to detail and proofreading;
  • Works well in a fast-paced environment with shifting priorities to meet time-sensitive deadlines, as well as manage multiple projects simultaneously; and
  • Outstanding initiative and problem-solving capabilities with a resourceful and driven attitude.

Qualifications:
  • At least 5 years' experience in event planning (required); and
  • Law firm and/or professional services experience (preferred).

The salary wage range for New York that we expect to pay for this position is a minimum of $91,000 and a maximum of $116,000 annually. The actual pay wage may vary based on experience or other relevant factors.
Employees will be provided with an excellent career opportunity in a collaborative environment, in addition to a generous total compensation package with the opportunity to earn bonuses based on individual contribution and firm profitability.
The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is exempt meaning it is not overtime pay eligible.
