Position: Weekend Receptionist

Schedule: 8:00 AM to 2:00 PM (Saturday and Sunday rotating holidays, as needed)

The first point of contact for visitors and guests. This role requires exceptional customer service skills, professionalism, and organizational abilities. In addition to greeting guests, the Receptionist supports the facility's administrative functions, managing schedule of rooms, and more.

Main responsibilities

  • Provide exceptional customer service by greeting all visitors and guests in a friendly and professional manner.
  • Operate multi-line phone and paging systems, efficiently routing calls to the appropriate party.
  • Maintain a current file/listing of resident face sheets, emergency phone members of on-call personnel, department head list with numbers and extensions, key personnel, etc.
  • Greet visitors and direct them to the appropriate office and/or resident room.
  • Receive, sort, and distribute mail as directed. Prepare certified letters, Fed-Ex packages, and mail as needed. Forward corporate mail daily (scan). 
  • Manage schedule for any special rooms within the facility
  • Handle sensitive information regarding residents and facility matters with professionalism and discretion.
  • Assist with various administrative tasks.

Qualifications:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent customer service and communication skills.
  • Strong organizational and multitasking abilities.
  • Previous experience as a receptionist in a healthcare or long-term care setting is preferred.
  • Familiarity with multi-line phone systems.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
