Job description

Title: Front Desk
Employee Classification: Administration
Reports to: Program Director
Position Type: Non-Exempt
Work Hours: Monday - Friday, 1:00 pm - 6:30 pm
Position Summary:
The Front Desk is responsible for managing the reception area and serving as the first point of contact for members, parents, and visitors. This role includes greeting guests, answering phone calls, responding to inquiries about the Club and its programs, and providing excellent customer service. The Front Desk will also assist with collecting payments, tracking attendance, maintaining records, and supporting administrative and grant-related data collection. The Front Desk will help ensure the front desk operates efficiently and that members and families receive a welcoming and professional experience.
Responsibilities:Front Desk Management:
  • Operate and manage the reception area ensuring a welcoming environment.
  • Track daily membership and program attendance.
  • Monitor and log all visitors and guests entering the building.
  • Maintain an organized filing and membership information system using MyClubHub.
  • Provide quality customer service, offer guided tours, and answer inquiries regarding Club programs, fees, policies, etc.

Payment Collection & Policy Enforcement:
  • Collect weekly payments, issue receipts, and maintain up-to-date member account information.
  • Enforce payment policies and conduct collection calls for unpaid accounts.

Additional Responsibilities:
  • Assist in the supervision of club members and participate in special events.
  • Engage in ongoing training to effectively use marketing resources provided by the Boys & Girls Clubs of America (BGCA).

Qualifications:
Knowledge and Skills:
  • Demonstrated knowledge of customer service, office management, and working with children.
  • Strong organizational skills with the ability to multitask and manage time effectively.

Education:
  • High school diploma or higher, or equivalent experience.

Experience:
  • Experience in a Boys & Girls Club or similar organization preferred.
  • Proven ability to create a positive environment for youth and experience in an office setting or customer service role.
  • Proficiency in Google Workspace, Canva and ability to learn and understand CRMs, especially Salesforce.
  • Experience with Salesforce preferred but not required.

Physical Requirements:
  • Ability to sit for extended periods and handle a variety of tasks with interruptions.
