About the Role:

The Coordinator for Events and Special Projects is a highly organized role in the Office of the Provost who provides critical support to the Academic and Student Affairs division. The role ensures compliance with faculty credentialing requirements and accreditation standards, manages faculty data and reporting systems, and coordinates strategic events and recurring meetings hosted by the Provost's Office. This position also serves as a liaison to academic and administrative units across the university, supporting the Vice Provost through effective communication, project tracking, and logistical coordination. By combining administrative expertise, event management, and data oversight, the position contributes to the efficiency, visibility, and reputation of the division.
  • Serve as system administrator for Faculty Success, ensuring accurate collection and reporting of faculty teaching, research/creative activity, and service data. Manage faculty credentialing records required for accreditation, including transcripts, promotion/tenure data, and faculty status updates. Maintain the Faculty Success website, granting system access as appropriate, collaborating with IT to enhance functionality, and ensuring course load and syllabus data are updated each term. Respond to current and former student syllabi requests.

  • Plan and coordinate events and recurring programs hosted by the Office of the Provost, including Faculty & Staff Awards, First and Final Fridays, Faculty Development Awards, New Faculty/Administrator Orientation, GSE programming, fall Convocation Week, faculty appreciation events, special guest lectures and such. Oversee event logistics, including scheduling facilities, catering, RSVP tracking, seating, communications, and promotional materials. Coordinate official faculty portrait projects in collaboration with the library.

  • Provide comprehensive administrative support to the Vice Provost, including coordinating travel arrangements, calendar management, processing expense reports, tracking, reconciling, and allocating monthly procurement card expenses, managing time approvals, and preparing meeting agendas and minutes. Support search committees by managing candidate travel and logistics

  • Schedule bi-weekly, monthly, and semi-annual meetings between Risepoint and multiple internal and external university-wide stakeholders. Reserve rooms and arrange for technical support for on-campus meetings.

  • Assist with preparing documentation, reports, presentations, and communications and reports for internal and external audiences, ensuring data accuracy.

Bachelor's Degree and three years of experience required. Requires the ability to maintain confidentiality, exercise sound judgment, and demonstrate strong organizational and communication skills. Occasional flexibility in work hours may be necessary to support evening or weekend events.
