The Event Operations Coordinator plays a vital role in creating exceptional experiences for students, faculty, staff, and guests by ensuring campus events are set up safely, accurately, and on schedule. This position is ideal for someone who enjoys coordinating logistics, leading teams, solving problems, and supporting a mission-driven organization.

The Opportunity

The Event Operations Coordinator oversees the setup and teardown of campus events while coordinating with event partners, Facilities Services, and student employees to ensure successful execution. This role combines event logistics, team leadership, scheduling, and customer service in a dynamic, fast-paced environment.

The successful candidate will be highly organized, dependable, and capable of balancing multiple priorities while delivering outstanding support to a variety of campus stakeholders.

What You’ll Do

Event Planning & Coordination

  • Coordinate and oversee event setups and teardowns requested through the Facilities work order system.
  • Partner with Event Management, event organizers, and campus service providers to ensure events are executed accurately and on schedule.
  • Participate in planning meetings and event walkthroughs to understand requirements and identify operational needs.
  • Ensure event spaces are prepared according to specifications and safety standards.

Team Leadership & Scheduling

  • Schedule and supervise student employees responsible for event logistics and room setups.
  • Direct the setup of tables, chairs, stages, pipe and drape, displays, and other event furnishings for gatherings ranging from small meetings to large conferences.
  • Monitor staffing levels and adjust schedules to meet changing event demands.
  • Recruit, interview, hire, onboard, and train student employees.

Facilities & Operational Support

  • Provide support to custodial teams as needed to maintain event readiness and campus presentation.
  • Assist with maintaining inventory and organization of event equipment and supplies.
  • Perform other related duties as assigned in support of Facilities Services and campus operations.

Top Qualifications

  • High school diploma or equivalent.
  • Demonstrated leadership or supervisory experience.
  • Strong organizational and planning skills with the ability to coordinate schedules, staffing, and multiple priorities simultaneously.
  • Excellent customer service and relationship-building skills.
  • Strong verbal and written communication abilities.
  • Basic computer proficiency, including email, spreadsheets, and word processing applications.
  • Ability to perform the physical requirements of the position.
  • Valid driver's license with a satisfactory driving record.
  • Authorized to work in the United States without sponsorship.

 What Will Help You Succeed

  • Experience in event coordination, event operations, facilities support, or event management.
  • Custodial or facilities services experience.
  • Experience supervising student employees or part-time staff.
  • Familiarity with scheduling, work order, or event management systems.
  • Advanced computer skills.

 Work Environment

  • This position works in a combination of office and campus environments. Responsibilities include operating standard office equipment as well as performing hands-on event support throughout campus facilities. The role requires frequent walking between buildings, climbing stairs, lifting and moving equipment, and working both indoors and outdoors in varying weather conditions.
  • This is a part-time position averaging 28 hours per week. Work schedules will vary based on event needs and will include evenings, weekends, and occasional longer hours for major campus events.

The position requires the ability to:

  • Lift and move up to 50 pounds.
  • Set up and arrange tables, chairs, stages, and event equipment.
  • Push and pull carts, gondolas, and other equipment.
  • Bend, kneel, crouch, stoop, reach, and climb ladders as needed.
  • Operate basic custodial tools and equipment when assisting with event support and campus readiness.
