Data Entry Clerk
SUMMARY/OBJECTIVE
The objective of this role is to establish a high-accuracy data bridge during the high-volume summer import window (May-October), ensuring operational efficiency and data integrity across multi-continental supply chains from South America, Europe, and Africa. By managing the rapid processing of critical import documentation-such as packing lists, phytosanitary certificates, Bills of Lading and invoices-it prevents costly port delays by notifying the team about missing documents. Furthermore, it guarantees ERP and Warehouse Management System accuracy by making sure all data points get updated accurately. .
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced agricultural environment while maintaining a high degree of accuracy and confidentiality.
JOB FUNCTIONS
Logistics Data Entry
  • Process Shipping Packets: Receive, review, and organize critical import documentation-including packing lists, phytosanitary certificates, Bills of Lading (BOL), and commercial invoices-for incoming citrus shipments from South America, Europe, and Africa.
  • Proactive Exception Management: Audit incoming document packages against physical shipment notices to immediately flag missing, incomplete, or mismatched paperwork.
  • Team Alerts: Promptly notify internal logistics and compliance teams about missing documentation to clear customs friction and prevent costly port delays or demurrage fees.
  • Maintain accurate electronic records to support inventory and operational reporting.
Supplier Coordination Support
  • Assist with confirming inbound delivery schedules with the packing house and supply team.
  • Monitor expected deliveries and report scheduling conflicts or delays.
General Administrative Support
  • Organize, scan, index, and electronically file logistics documentation.
  • Maintain digital records to support food safety, traceability, regulatory compliance, and internal audit requirements.
  • Ensure documentation is properly archived and easily retrievable.
  • Assist with preparing reports and compiling logistics information as requested.
General Administrative Support
  • Provide administrative assistance to the Sales and Logistics Operations teams.
  • Answer incoming calls and respond to routine inquiries.
  • Prepare correspondence, reports, spreadsheets, and other documentation.
  • Assist with data reconciliation and record verification.
  • Maintain office supplies and assist with general office organization.
  • Perform other duties as assigned to support departmental operations.
QUALIFICATIONS
  • High School Diploma or GED required.
  • Associate degree in Business Administration, Logistics, Supply Chain, or related field preferred.
  • One (1) to three (3) years of administrative, logistics, transportation, inventory, or data entry experience preferred.
  • Experience in agriculture, produce, food manufacturing, or distribution is a plus.
  • Must be flexible with hours of operations
  • Excellent data entry accuracy and attention to detail.
  • Strong organizational and time management skills.
  • Ability to prioritize multiple assignments in a fast-paced environment.
  • Proficient in Microsoft Office Suite, particularly Excel, Outlook, and Word.
  • Experience working with ERP, inventory, or logistics software preferred.
  • Strong verbal and written communication skills.
  • Ability to work independently with minimal supervision while also functioning effectively as part of a team.

WORK HOURS & ENVIRONMENT
40+ hours work week and required to work additional hours during peak times or as needed. Weekends and nights may be required as needed.
