Job description

Job Title

This position is responsible for a wide variety of routine clerical and administrative duties and for the professional and efficient managing of visitors, vendors, staff, citizens and public officials.

Major Duties

Attend to visitors and greet, staff, vendors, and citizens with inquiries on the phone and face to face, provide information regarding the City of East Point to the public and customers

Answer telephone, screen, and direct calls; take and relay messages

Provide general administrative and clerical support to City Clerk staff

Prepare letters and documents, receive and sort mail and deliveries, schedule appointments

Plan and organize meetings and trainings, maintain cleanliness of the reception area

Promptly, accurately, professionally, and courteously receive and assess all telephone calls and visitor inquiries

Sign for deliveries when necessary and notifies recipients; gathers refuse daily in common office areas

Maintains a thorough working knowledge of and adheres to organization/project policies, regulations, and procedures

As needed, assists with clerical tasks to include typing, filing, proofreading, maintenance of logs, and data entry

Processes transactions such as document review and verification of employment

Reports to work regularly and on time

Assists with other duties as needed and directed

Minimum Qualifications

High school diploma or equivalent and two (2) to five (5) years of related general office work experience. To perform this job successfully, an individual must have knowledge of: Internet Explorer, Microsoft Outlook, Microsoft Excel, Microsoft Power Point and Microsoft Word.

Guidelines: Guidelines include City and departmental policies and procedures and applicable ordinances.

Complexity: The work consists of a variety of administrative and clerical duties.

Scope and Effect: The purpose of this position is to support the efficient operation of the assigned department through coordination of a wide variety of administrative and clerical duties.

Personal Contacts: Contacts are typically with co-workers, elected officials, public and other City employees.

Purpose of Contacts: Contacts are typically to give and exchange information, resolve problems and provide services.

Physical Demands: The work is typically performed with the employee sitting at a desk.

Work Environment: The work is typically performed in an office.
