Job description

Job Title: Marketing Operations Coordinator Location: Warrendale, Pennsylvania Overview The Marketing Operations Coordinator is a one-year contractor role that provides hands-on coordination support to keep marketing projects moving through Workfront software with accuracy and speed. This role partners with marketing managers and specialists to intake work requests, build and update projects in Workfront, maintain project plans, and monitor deadlines so deliverables launch on time with fewer extensions. The coordinator supports day-to-day workflow hygiene by validating briefs, routing tasks to the right owners, tracking dependencies, and flagging risks early. They also apply established workflows and flag process improvement opportunities to the Marketing Operations team. Responsibilities

  • Support the coordination of marketing projects through Workfront software, ensuring accurate and timely updates and communications.
  • Validate work requests by verifying required inputs, routing tasks to appropriate owners, and reducing rework from incomplete information.
  • Track project deadlines and dependencies, follow up on overdue tasks, and flag at-risk work early to ensure project timelines are met.
  • Coordinate review and approval processes, confirming all steps are completed before handoff for launch.
  • Apply standardized workflows and contribute to updates for templates and process documentation to improve efficiency.
  • Create and maintain project plans using templates, keeping projects current until completion.
  • Prepare weekly status snapshots highlighting upcoming deadlines, risks, overdue tasks, and dependencies.
  • Generate monthly operational summaries covering project volume, launch metrics, overdue trends, extension drivers, and process improvement recommendations.
  • Update process documentation including templates, intake checklists, and guidance notes as needed.
Requirements
  • At least 2 years of experience supporting marketing, project coordination, or operations roles.
  • Associate degree in Marketing, Business, Communications, or related field, or equivalent work experience.
  • Basic understanding of marketing project work such as creative, email, web, digital campaigns, event marketing, or content.
  • Familiarity with project management concepts including task tracking, dependencies, timelines, and status reporting.
  • Comfortable working within a project management platform and maintaining accurate project records.
  • Experience with Adobe Workfront or similar enterprise project management tools (preferred).
  • Experience with CRM or marketing automation platforms like Salesforce or Marketo (preferred).
  • Prior experience in marketing operations, workflow coordination, or a PMO environment (preferred).
