Job description

Essential Functions & Responsibilities:

• Assists Wealth Advisors in client servicing, documentation, and execution of financial plans and investment strategies.

• Prepares and maintains client files, investment documents, and compliance records with a high degree of accuracy.

• Joins Wealth Advisors in select client meetings to record notes, assist in follow-ups, and ensure timely implementation of client goals.

• Maintains up-to-date client records in CRM systems, including meeting notes, profile updates, and scheduling follow-ups.

• Supports the onboarding process for new investment and insurance clients, including loading data into financial planning tools and internal systems.

• Tracks and monitors annuity and life insurance cases from submission to approval, resolving underwriting issues as needed.

• Liaises with the broker-dealer’s back office and third-party vendors to troubleshoot account-related concerns and ensure prompt resolution.

• Manages and coordinates daily workflows, scheduling, and reporting functions for the Wealth Management department.

• Oversees and maintains advisors' appointment calendars, proactively addressing scheduling conflicts and changes.

• Prepares and distributes timely communications such as newsletters, compliance documentation, and client updates.

• Ensures all documentation and procedures align with regulatory and internal compliance standards, including BSA and Red Flag training requirements.

• Inputs new client data, prospects, and referrals into CRM; runs reports and schedules periodic reviews based on system data.

• Tracks performance metrics and maintains department dashboards related to client interactions, insurance policies, and investment performance.

• Evaluates and reports on client engagement metrics, campaign success, and internal process effectiveness.

• Supports management in networking efforts by identifying and tracking referral opportunities from branches, commercial lending, and existing high-net-worth clients.

• Introduces high-value members to Wealth Management services and promotes cross-functional collaboration within the Credit Union.

• Executes thoughtful, timely client touchpoints including birthdays, anniversaries, and life events to enhance client loyalty.

• Provides operational support across the Wealth Management team to improve productivity, sales, and overall client satisfaction.

• Participates in team meetings, contributes to process improvement initiatives, and helps onboard new team members.

• Maintains a member first mindset.

• Upholds core values and builds team member and customer relationships.

• Completes all training as required.

• Performs other duties as assigned.
