Job description

Description:
  • Responsible for minimizing expenses by properly monitoring and directing installers overtime and travel time.
  • Balances demand for customer satisfaction against installer efficiency and cost-effectiveness for company.
  • Responsible for coordinating scheduling of installers, apprentices, delivery drivers, field managers, and equipment in coordination with Construction Installation Project Manager In coordination with Construction Installation Project.
  • Manager (CIPM) selects installers/sub-contractors for particular assignments while considering location of installers/sub-contractors and differences in applicable skills, training, licenses, and levels of experience as required for job.
  • Must be able to evaluate and special needs for each project.
  • Creates work orders and dispatches a fleet of 15 -25 installers/sub-contractors/drivers to ensure clear communication of assignments and objectives.
  • Monitors installers/sub-contractors apprentices daily compliance with scheduled duties, including work order updates, time card and email period compliance, and daily sampling of GPS, with communication to CIPM and project manager when performance is substandard or beyond anticipated budgets.
  • Monitors installer/drivers absenteeism and tardiness and reports information to CIPM and Project Manager accordingly.
  • Coordination of tools, parts, and components for projects to ensure installers/sub-contractors receive the necessary items required for success on an assignment in the most efficient way possible.
  • Reporting of situations that possibly call for change orders to Project Manager and CIPM to address with customers (eg. Cost increases due to project timelines, lost time on install, etc.)
  • Performs duties with an awareness of all project-specific requirements (eg. Daily start/finish times, safety requirements, etc.)
  • Creates, sends, and follows up with on status of jobsite readiness form and invoice for payment due for projects and oversees communication with customers to confirm site readiness and schedules. Performs preliminary review of completed forms.
  • Provides follow-up as necessary, and reports any prolonged delay of site to Project Manager and CIPM.
  • Sends and follows up on contractor punch lists and final invoices for installation and oversees communication and follow-up with customers to confirm completion and return schedules.
  • Reports to CIPM and Project Manager with any issues regarding punch list completion (CIPM or Project Manager to contact customer to resolve any issues, clarifications or repeated non-responses/delays from customers).
  • Maintain consistent communication with customers, both with phone calls and emails as necessary for the given task.
  • Update the Project in Salesforce.com with all pertinent details on activities, schedules, etc. to update the project management team.
  • Corresponds with inspection agencies to schedule inspections as required prior to turnover.
  • Coordinate travel details for out-of-town installations (hotel stays, airline travel, and per diem transactions) with approval from the Project Manager or CIPM.
  • Additional administration duties as assigned.
  • Construction company experience or knowledge is preferred.

Qualifications:
  • Previous experience in scheduling and dispatching.
  • Logical reasoning skills to apply the correct person(s) for a given task (accounting for applicable training, licensing, physical capabilities, etc).
  • Excellent verbal and written communication skills.
  • Able to work harmoniously with installers, technicians, other employees, and the public.
  • Experienced at de-escalating and at ease working with temperamental customers, installers, technicians, and other challenging circumstances.
  • Excellent customer service skills.
