Job description

Front Desk & Guest Experience

  • Greet and assist employees, visitors, and candidates with a warm, professional presence
  • Manage guest check-in process, including badge access and notifications to hosts
  • Coordinate visitor logistics (room bookings, catering coordination, wayfinding)
  • Maintain a clean, organized, and welcoming reception area at all times

Workplace & Office Operations Support

  • Support day-to-day office needs including supplies, snacks, and common area upkeep
  • Assist with meeting room readiness (resets, basic AV checks, scheduling coordination)
  • Partner with Workplace on office events and employee experience activations
  • Monitor and restock kitchens, copy areas, and shared spaces

Light Facilities Coordination

  • Submit and track basic facilities requests (lighting, HVAC, janitorial, maintenance)
  • Act as an on-the-ground point of contact for vendors (cleaning, deliveries, repairs)
  • Conduct routine walkthroughs to identify and escalate issues proactively
  • Help maintain workplace standards for safety, cleanliness, and organization

Basic IT / AV Troubleshooting

  • Escalate technical issues to IT or AV when needed, ensuring proper follow-through

Administrative Support

  • Manage incoming mail, packages, and deliveries
  • Support scheduling and coordination for small meetings or onsite activities
  • Maintain internal documentation and workplace guides as needed

What You Bring

  • 2 to 4+ years of experience in reception, office coordination, or workplace support
  • Strong customer service mindset with excellent communication skills
  • High attention to detail and ability to stay organized in a fast-paced environment
  • Proactive problem-solver who takes initiative and ownership of tasks
  • Comfortable with basic AV/IT troubleshooting or willingness to learn
  • Ability to multitask and prioritize effectively
  • Must be proficient in English, both spoken and written
  • Reliable transportation to the Downtown San Jose area and ability to pass a background check

Nice to Have

  • Experience supporting a high-visibility or executive-facing office
  • Familiarity with workplace tools (badge systems, room booking platforms, ticketing systems)
  • Experience coordinating vendors or facilities requests
  • Bilingual proficiency in a second language

This is a full-time, Monday through Friday role with biweekly pay and training provided. Qualified candidates will be contacted within 24 hours.
