Payroll and Accounting Office Manager

Job Description

What you’ll be doing:

• Processing invoices from subcontractors and suppliers, and routing for approval to Project Managers

• Gathering time for employees and 1099 workers each week, coded by project, and entering into the payroll system and Sage 100 Contractor

• Preparing/performing month-end and year-end closings, including work-in-place and over/under billing reports, income statements and balance sheets

• Following all company procedures and performing work in a safe manner

• Scanning and maintaining filing for all accounting and payroll records

• Collecting and maintaining current insurance certificates for all vendors and clients

• Collecting and maintaining vendor lien releases and ensuring all lien right notices are satisfied

• Serving as a public notary

• Answering main office telephone calls

• Maintaining/ordering all office supplies

• Assisting with marketing efforts, including signage, photographs, website

• Picking up mail from local Post Office; dropping-off mail, UPS/FedEx as needed

What you need to be successful:

• 3+ years of experience in accounting and payroll, with at least 1 year of experience in commercial construction accounting

• Working knowledge of AIA construction billings and retainage

• Sage 100 Contractor experience a plus

• Microsoft Office (Excel, Word, Outlook)

• Organizational and tie management skills

• Good written and verbal communication skills,

• Ability to multi-task while being accurate and paying close attention to detail

• Ability to work well independently and as a team member in a small office environment
