The GM Warranty Clerk is responsible for processing, submitting, and managing General Motors (GM) warranty claims across multiple dealership locations. This role ensures compliance with GM policies and procedures while maximizing claim accuracy, minimizing rejections, and supporting service departments in maintaining efficient warranty operations.

REPORTS TO: ย ย ย  Parts and Service Director

LOCATION: ย ย ย ย ย ย ย  Cincinnati, OH

FLSA STATUS: ย ย  Non-Exempt

A SHORT LIST OF YOUR TASKS AND RESPONSIBILITIES: ย ย ย 

ย 

Warranty Processing & Administration

  • Review repair orders for completeness, accuracy, and GM policy compliance
  • Submit warranty claims through GM Global Warranty Management (GWM) system
  • Verify proper coding, labor operations, and documentation prior to submission
  • Track, reconcile, and follow up on all submitted claims

Compliance & Audit Support

  • Ensure adherence to GM warranty guidelines and dealership policies
  • Prepare and maintain documentation for internal and manufacturer audits
  • Address and resolve rejected or debited claims promptly
  • Monitor trends and identify areas for improvement in warranty submission quality

Multi-Location Coordination

  • Serve as the primary warranty point of contact for multiple dealership locations
  • Communicate with service advisors, technicians, and managers across stores
  • Standardize warranty processes and ensure consistency across all locations

Financial & Administrative Responsibilities

  • Reconcile warranty receivables and payments from GM
  • Maintain accurate records of claims, credits, and adjustments
  • Assist accounting with month-end closing related to warranty receivables
  • Process payments for Fleet customers
  • Generate technician flagged hours report from Tekion and submit to payroll for weekly processing
  • Compile and submit monthly bonus reports to payroll for processing

Operational Support

  • Assist the reconditioning center by closing repair orders as needed
  • Support service operations with administrative tasks to ensure workflow efficiency

Training & Support

  • Provide guidance to service advisors and technicians on proper warranty documentation
  • Assist in training team members on GM policies and claim procedures
  • Stay current on GM warranty updates, bulletins, and system changes
WEโ€™RE LOOKING FOR A SELF-STARTER WHO MEETS THE FOLLOWING QUALIFICATIONS:ย 

Required

  • 1โ€“3+ years of dealership warranty experience (GM preferred)
  • Strong knowledge of GM Global Warranty Management (GWM) system
  • Familiarity with Tekion or similar dealership management systems preferred
  • Understanding of service operations, repair orders, and labor coding
  • Ability to manage high-volume workload across multiple locations
  • Excellent attention to detail and organizational skills
  • Strong communication and problem-solving abilities
  • Intermediate Microsoft Excel and general computer skills
