Job description

Position: Vice President of Administration
Location: St Charles Mo
The Vice President of Administration is a key member of the executive leadership team responsible for planning, directing, coordinating, and overseeing the administrative operations of the organization. This position provides strategic leadership to ensure efficient, scalable, and cost-effective business operations that support the organization's short- and long-term objectives. The Vice President of Administration develops organizational policies, drives continuous improvement initiatives, promotes cross-functional collaboration, and ensures that all administrative functions operate in alignment with the company's mission, vision, values, and strategic goals.
Essential Duties and Responsibilities
Strategic Leadership
  • Establish, implement, and direct the strategic vision and operational objectives of the administrative division.
  • Partner with the President and executive leadership team to develop and execute company-wide strategic initiatives.
  • Provide leadership, guidance, and recommendations regarding organizational structure, workforce planning, operational efficiency, and resource allocation.
  • Participate in long-range business planning, succession planning, and organizational development initiatives.
  • Foster a culture of accountability, innovation, collaboration, and continuous improvement throughout the organization.
  • Operational Management
  • Oversee daily administrative operations to ensure organizational effectiveness, productivity, and service excellence.
  • Identify, evaluate, recommend, and implement new technologies, systems, processes, and best practices that improve operational performance and efficiency.
  • Develop, implement, and enforce policies, procedures, and internal controls that support organizational objectives and regulatory compliance.
  • Monitor organizational performance metrics and key performance indicators (KPIs) to drive operational improvements and achieve business goals.
  • Ensure alignment of departmental goals, staffing plans, budgets, capital expenditures, facility requirements, and operational initiatives with the organization's strategic plan.
  • Lead cross-functional projects and organizational initiatives to improve communication, collaboration, and business outcomes.
  • Financial and Resource Management
  • Collaborate with Accounting and executive leadership to develop annual budgets, forecasts, and financial plans.
  • Monitor departmental expenditures and resource utilization to ensure fiscal responsibility and cost-effective operations.
  • Evaluate operational investments and capital expenditures to maximize return on investment and organizational value.
  • Support revenue growth initiatives through efficient administrative systems and business support functions.
  • Identify opportunities for cost savings, process optimization, and operational efficiencies.
  • Customer and Stakeholder Relations
  • Collaborate with internal and external stakeholders to strengthen business relationships and support organizational objectives.
  • Represent the organization in executive meetings, strategic planning sessions, and other business engagements as required.
  • Promote a customer-focused culture that supports the organization's reputation and growth objectives.

Qualifications
  • Bachelor's degree in Business Administration, Management, Organizational Leadership, or related field required; Master's degree preferred.
  • Minimum of 10 years of progressive leadership experience, including senior-level administrative or operational management responsibilities.
  • Proven ability to lead multiple departments and manage complex organizational initiatives.
  • Strong financial acumen with experience in budgeting, forecasting, and resource management.
  • Demonstrated expertise in organizational development, process improvement, change management, and strategic planning.
  • Excellent leadership, communication, interpersonal, and problem-solving skills.
  • Ability to analyze complex business challenges and implement effective solutions.
  • Proficiency with ERP systems, business software applications, and data-driven decision-making tools.
