Job description

ASAE helps associations, and the professionals who lead, manage, and work in them, transform society through the power of collaboration. We are looking for someone to join our team as the Coordinator, Volunteer Relations. Candidates must be able to work in a diverse, inclusive, and collaborative environment where colleagues are engaged, respect and support each other, hold themselves accountable, and celebrate their work.

The Coordinator, Volunteer Relations, supports the operational success and engagement of ASAE volunteer groups by serving as a staff liaison to assigned councils and committees. This role coordinates meetings, maintains volunteer records and communications, supports volunteer leaders, and helps ensure volunteer activities align with organizational goals. The coordinator also provides administrative and logistical support for volunteer-related initiatives, including volunteer outreach, award programs, and volunteer-supported learning activities.

  • Serves as staff liaison for assigned councils/committees, working closely with council/committee leadership and members to:
    • Facilitate recurring meetings (monthly or bimonthly), agendas, and workflows to ensure committees operate efficiently
    • Maintain accurate volunteer rosters, attendance records, and engagement tracking.
    • Capture meeting action items, key discussion points, and follow-up tasks
  • Provide administrative coordination support for volunteer-related awards programs.
  • Serve as a liaison with internal learning and education teams to support volunteer-led educational programming and related initiatives.
  • Coordinate outreach and communications to promote volunteer opportunities and engagement.
  • Other duties may be assigned.
Essential Skills
  • Ability to build and maintain positive working relationships with volunteers, members, and staff
  • Skilled in coordinating volunteer communications, assignments, and engagement activities
  • Ability to work independently while collaborating effectively with cross functional teams
  • Strong customer service orientation and ability to respond professionally to volunteer inquiries and concerns
  • Experience coordinating meetings, preparing agendas and materials, and tracking follow up actions
  • Proficiency with Microsoft Office applications and database, association management, or volunteer management systems
  • Strong problem solving skills and the ability to adapt to changing priorities and organizational needs
  • Ability to support volunteer programs and initiatives in alignment with organizational goals and priorities

Education and Experience

  • Bachelor's degree in Business Administration, Communications, or a related field, or an equivalent combination of education, training, and experience.
  • Three to five years of professional experience in volunteer relations, program coordination, association management, member services, or nonprofit operations, including coordinating volunteer engagement initiatives, meetings, and related activities.
  • Working knowledge of Microsoft Office Suite and experience using databases, association management systems, or volunteer management platforms.
  • Experience with Higher Logic, OpenWater, and PropFuel platforms preferred.
Travel

No more than 10% of travel is expected for this position.

Work Authorization/Security Clearance (if applicable)

Must be eligible to work in the United States.
