Position Type/Classification: Full-Time, 40 hours per week; Exempt


Position Summary:

The Assistant Shelter Manager is responsible for providing and maintaining an empowerment-based, trauma-informed, survivor-centered shelter setting. This includes peer modeling best practices in the provision of services to individuals that have been victimized by domestic violence. The Assistant Shelter Manager directly supervises part-time DV Shelter Program Assistant staff assigned to the Martin County emergency shelter.


This position is accountable for assisting in the development, implementation and management of residential activities, best practices in the provision of hotline services, intakes, assessments, safety planning, crisis intervention, and meeting basic needs, maintain compliance of health and safety standards, maintaining collaborative relationships with community partners, , compiling monthly, quarterly, and annual reports, ensuring accurate data collection, and facilitating in-service trainings.


Job Responsibilities:

  • Provide over-site of designated shelter staff to support and ensure the safety of staff and participants through adherence to agency policies, protocols, SOPs, DCF standards, and confidentiality statutes 39.908 and 90.5036. In addition to leading and serving on the emergency disaster team in the event of a national disaster or weather emergency.
  • Ensure the successful provision of program services by directly implementing, coordinating, providing and supporting staff through supervision in the delivery of the following activities including, but not limited to
  1. Responding to crisis hotline callers and assessing program eligibility.
  2. Completing intakes, exits, and individual crisis counseling sessions.
  3. Collecting and documenting accurate data and service information into the agency’s client database management system.
  4. Facilitating house meetings, orientation group services, and informational workshops.
  5. Identifying and addressing the immediate basic and safety needs of program participants.
  6. Creating a welcoming and supportive environment for participants residing in the emergency shelter.
  • Facilitate and document the following, including, but not limited to:
  1. Monthly individual and weekly supervision meetings.
  2. Staff annual performance evaluations for review by the Residential Manager, Director of Programs and/or Human Resources.
  3. Recruitment, interviewing, onboarding/orientation, and training of designated shelter staff and volunteers assigned to the Assistant Manager.
  4. Formal disciplinary and corrective action(s) reports.
  • Perform quality assurance reviews for the following activities completed and collected by staff, including, but not limited to:
  1. Adult participant intake service forms and files (paper and electronic).
  2. Hotline calls.
  3. House meeting and Orientation logs completed by staff.
  4. Volunteer timecards completed by volunteers serving the shelter program.
  5. Confidentiality Agreements completed by vendors, visitors, outside providers, and volunteers.
  6. Incident reports completed and submitted by staff.
  7. Monthly and quarterly statistical reports.
  8. Hard of hearing communication assessment and auxiliary aids service records.
  9. Health and safety logs.
  10. Shift communication logs.
  11. Staff training attendance records.
  • Assist the management team to ensure required coverage is scheduled and maintained to provide 24hr/7day hotline and shelter services to callers and program participants. Manage the schedules for assigned staff to meet the needs of program participants.
  • Collect and submit accurate statistical and program reports by the 3rd day of each month.
  • Review and approve all direct reports' timesheets.
  • Providing ongoing consultation to shelter staff on crises, including responding to calls regarding crises after hours and on the weekends as the Administrator on Call (AOC) as scheduled
  • Represent SafeSpace, Inc. and advocate on behalf of domestic violence survivors at community events, interagency meetings, and community meetings.
  • Ensure facilities are clean and schedule / coordinate maintenance and/or repairs, including vehicles, equipment, and furniture. Conduct daily walk-throughs and take corrective action to meet compliance with SafeSpace policies, procedures, standards, regulations, to ensure health and safety standards are met.
  • Ensure proper supply inventories and distribution of basic needs items, food, clothing, linens, cleaning supplies, office supplies, hurricane supplies, etc.
  • Ensure staff adheres to all safety and security policies, protocols, and procedures.
  • Participate as a team member to provide coverage and support to other shelter management staff so that IRC and Martin County shelters are both covered appropriately regarding supervision, staffing, etc.
  • Participate, assist with, and complete other projects and allowable duties relating to crime victim services, as required and assigned by the Residential Manager.
Requirements:

Qualifications and Skills:

  • Bachelor’s degree in social work or a related field and 2 years of advocacy experience or more providing case management, crisis intervention and/or advocacy to vulnerable, at-risk, or culturally specific populations; and a minimum of one-year of supervisory related experience. (May substitute education with prior relevant professional experience.)
  • Experience in the victim services field of domestic violence, sexual violence or human trafficking is preferred.
  • Ability to engage in and model supportive, healthy relationships, with survivors, peers, staff and community members.
  • Excellent ability to safely respond to a crisis, conflict, and critical incidents utilizing a trauma-informed de-escalation approach.
  • Must adhere to SafeSpace ethics, policies, procedures, and contractual standards.
  • Strong working knowledge of social service agencies, including government help systems is preferred;
  • Ability to communicate efficiently utilizing strong verbal, written, and interpersonal communication skills.
  • Must maintain and protect the confidentiality of the program participants and shelter locations within agency guidelines and state statutes.
  • Bilingual language skills are preferred.
  • Must be able to pass a level two background screen.
  • Must be willing to lead and serve on the emergency disaster team in the event of a national disaster or weather emergency.
  • Must maintain a valid driver’s license with reliable transportation to work at various locations including both emergency shelters and outreach locations.
  • Ability to be flexible and provide coverage when needed to meet SafeSpace shelter scheduling needs, including nights, weekends and holidays, as needed
  • Must be organized and detail-oriented, able to manage multiple priorities.

Training Requirements:

Required onboarding training will be conducted at the Admin. office or designated location during the hours of 8:30 am – 5:00 pm Monday through Friday regardless of shift schedule. Must successfully complete CORE Competency training provided by the agency within 90 days of employment and participate in ongoing mandatory education and skills training on relevant topics as required by statutory funding, certification of the agency or personnel, or as identified to improve employee performance. Must maintain annual training requirements outlined in the employee manual. Must have or gain knowledge in Florida Domestic Violence Statutes, Injunctions for Protection, court procedures, victim rights, Office of the Attorney General Victim Compensation / Relocation and Address Confidentiality Program (ACP), and the Florida Department of Corrections VINE (Victim Information Notification Everyday).

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Will be a noisy environment that is fast paced with high stimulation. Working with survivors of intimate partner domestic violence may increase exposure to secondary trauma.
