Coordinator of Volunteer Development

Position Overview

Reporting to the Manager of Programs, the Coordinator of Volunteer Development provides strategic leadership for CityKidz' volunteer program. This role is responsible for developing and implementing volunteer recruitment, engagement, retention, training, and recognition strategies that support CityKidz' mission and organizational goals.

The Coordinator of Volunteer Development ensures volunteers are effectively recruited, onboarded, trained, supported, and celebrated while fostering a healthy, mission-driven volunteer culture. This role collaborates closely with staff, community partners, and volunteers to strengthen volunteer engagement and support the successful delivery of CityKidz programs and services.

Responsibilities

Volunteer Recruitment, Intake & Placement (25%)

• Lead the development, implementation, and evaluation of CityKidz' volunteer recruitment strategy.
• Build community partnerships and leverage networking, social media, advertising, outreach initiatives, and local media to attract qualified volunteers.
• Oversee volunteer screening and onboarding processes, including interviews, reference checks, and final approvals.
• Develop and maintain intake processes that ensure volunteers are matched with opportunities aligned to their skills, interests, and passions.
• Coordinate volunteer placement across departments and programs.
• Monitor volunteer pipeline needs and proactively address recruitment gaps. 
  

Volunteer Engagement, Training & Retention (25%)

• Develop and implement volunteer engagement and retention strategies that foster a healthy and sustainable volunteer culture.
• Ensure volunteers receive comprehensive orientation, training, and ongoing development opportunities.
• Support and equip supervisors to effectively onboard, develop, and support volunteers.
• Oversee volunteer scheduling processes and systems across programs and organizational initiatives.
• Lead volunteer recognition initiatives, including Volunteer Appreciation Week, milestone celebrations, and seasonal appreciation events.
• Gather volunteer feedback and implement improvements that enhance the volunteer experience. 

Volunteer Program Administration (15%)

• Manage and monitor volunteer program expenses in alignment with approved budgets.
• Maintain accurate volunteer records, documentation, databases, and reporting systems.
• Ensure compliance with organizational policies, screening requirements, confidentiality standards, and volunteer procedures.
• Develop and improve volunteer policies, procedures, and operational systems.
• Monitor volunteer data and trends to support decision-making and program development. 

Organizational Collaboration & Team Development (10%)

• Partner with department leaders to identify volunteer needs and strengthen volunteer integration across the organization.
• Collaborate with the Resource Development team to promote volunteer opportunities and community engagement initiatives.
• Provide coaching, guidance, and support to staff and volunteers involved in volunteer engagement efforts.
• Foster a collaborative, supportive, and mission-focused culture within the Volunteer Development team and across the organization. 

Reporting, Communication & Evaluation (10%)

• Prepare accurate and timely reports related to volunteer recruitment, engagement, retention, and organizational impact.
• Track and analyze volunteer metrics to identify trends and support continuous improvement.
• Collect volunteer stories, testimonials, and impact data for communications, marketing, and fundraising purposes.
• Serve as a leadership presence at volunteer events and initiatives.
• Maintain clear and consistent communication with volunteers and stakeholders. 

Saturday Program Leadership & Development (10%)

• Serve as a rotational Saturday Program Lead.
• Provide leadership and operational oversight for CityKidz programming.
• Ensure programs are delivered in a safe, welcoming, inclusive, and engaging environment.
• Coordinate volunteers and operational resources during program delivery.
• Evaluate program effectiveness and support ongoing program improvement efforts. 

Functional Supervision (5%)

• Support the Manager of Programs by coordinating the work of Volunteer Development Team members.
• Assign, prioritize, and monitor workloads to ensure departmental objectives are achieved.
• Provide day-to-day coaching, guidance, and accountability to team members.
• Support professional growth and development opportunities for staff and team members. 

Qualifications & Demonstrated Skills

• Comfortable working in a faith-based organization.
• Passionate about and aligned with the mission, vision, and values of CityKidz.
• Committed to valuing diversity, promoting inclusion, and contributing to a welcoming and supportive environment.
• Post-secondary degree or diploma in a related field such as Volunteer Management, Human Resources, Community Development, Nonprofit Management, or a combination of relevant education and experience.
• Minimum three years of experience in volunteer engagement, volunteer management, or a related leadership role.
• Demonstrated experience recruiting, screening, training, and retaining volunteers.
• Strong leadership skills with the ability to inspire, motivate, and develop volunteers and team members.
• Excellent organizational, planning, and time-management skills with the ability to manage multiple priorities.
• Excellent interpersonal, written, and verbal communication skills.
• Strong presentation and facilitation skills with the ability to deliver engaging training and orientation sessions.
• Strong problem-solving, decision-making, and conflict-resolution abilities.
• Self-motivated with the ability to work independently and exercise initiative.
• Proficiency in Microsoft Office applications and experience working with volunteer management software, databases, or CRM systems.
• Demonstrated ability to build positive relationships with volunteers, staff, community partners, and stakeholders.
• Strong attention to detail, confidentiality, and professional judgment.
• Ability to collect, analyze, and report on volunteer metrics and program outcomes.
• Valid Class G driver's licence and reliable access to transportation.
• Ability to work occasional evenings, weekends, and special events as required.
• Current Vulnerable Sector Check or ability to obtain one upon hire.
