We are seeking a highly organized, empathetic, and proactive Remote Client Legal Intake Specialist to serve as the first point of contact for prospective clients.

This position plays a critical role in client experience, lead conversion, intake coordination, and communication between clients and the legal team.

$8 - $9 hourly

• Respond to inbound phone calls, emails, and website inquiries from prospective clients
• Conduct intake calls and gather relevant information regarding potential legal matters
• Determine whether inquiries are a fit for the firm’s services
• Schedule consultations and clearly explain next steps in the intake process
• Follow up consistently with current leads, past leads, and former clients to improve conversion rates and client experience
• Collaborate with attorneys and staff to ensure smooth client handoffs and continuity of care
• Maintain organized and accurate CRM records, intake notes, and client communications
• Support operational improvements and contribute to stronger backend systems as the firm grows

• Excellent English communication skills required (C1+ proficiency minimum)
• Russian language skills highly preferred but NOT required
• Additional languages are a plus
• 2+ years of experience in legal intake, customer service, hospitality, sales, or another client-facing role preferred
• Experience in a law firm, estate planning practice, elder law environment, or professional services setting is strongly preferred
• Strong written communication, professionalism, empathy, and sound judgment
• Exceptional attention to detail and follow-through
• Ability to work independently in a remote environment while staying organized and responsive
• Comfortable learning and using technology and new software platforms
• Familiarity with Lawmatics, MyCase, or similar CRM/case management software is a plus
• Experience using Claude, GenAI tools, or AI-assisted workflows is strongly preferred
