Job Summary
The Receptionist serves as the first point of contact for visitors, customers, and employees, providing professional front office support and exceptional customer service. This position is responsible for managing incoming calls, greeting guests, coordinating mail and deliveries, maintaining office supplies, scheduling meetings, and performing a variety of administrative and clerical duties. The Receptionist helps ensure the office operates efficiently while maintaining a welcoming, organized, and secure environment.
Duties/Responsibilities
· Greet and welcome visitors, customers, and employees in a professional and courteous manner.
· Conduct facility tours and provide presentations or orientation information to visitors, candidates, customers, and new employees as requested.
· Answer, screen, and direct incoming telephone calls.
· Provide accurate information to visitors and callers via phone, email, or in person.
· Receive, sort, and distribute incoming mail, packages, and deliveries.
· Maintain a clean, organized, and professional reception area.
· Monitor visitor access, maintain visitor logs, issue visitor badges, and follow office security procedures.
· Order and maintain inventory of front office and general office supplies.
· Assist with the planning, coordination, and execution of company meetings, employee events, training sessions, and special events, including setup, logistics, and vendor coordination.
· Update calendars, schedule meetings, and assist with meeting preparation and meeting minutes as requested.
· Perform general clerical duties, including filing, photocopying, scanning, transcribing, and faxing documents.
· Maintain accurate records, employee rosters, and assist with administrative support for various departments.
· Operate standard office equipment and utilize computer software effectively.
· Assist Human Resources with recruiting activities, including reviewing resumes, conducting initial candidate phone screenings, and scheduling interviews.
· Perform additional administrative and receptionist duties as assigned by management.
Requirements:
Required Skills/Abilities
· High school diploma or equivalent required.
· Minimum of one (1) year of office or administrative experience.
· Ability to pass a pre-employment drug screening.
· Strong telephone etiquette and customer service skills.
· Proficiency with computers and standard office software.
· Self-motivated, highly organized, and able to work independently with minimal supervision.
· Strong verbal and written communication skills.
· Excellent organizational, time management, and multitasking abilities.
Physical Requirements:
· Ability to sit for prolonged periods at a computer.
· Ability to lift 15 lbs from time to time for various office supplies.
· Must be able to pass pre-employment drug screen and background check.
