Holstein Canada is seeking a highly organized and proactive Executive Assistant & Board Governance Coordinator to provide confidential executive-level administrative and governance support to the CEO and Board. This role is ideal for someone who manages priorities well, coordinates complex activities, and supports senior leaders with professionalism and discretion.

In this role, YOU WILL:

  • Provide confidential administrative and governance support to the CEO and Board of Directors.
  • Prepare agendas, reports, presentations, correspondence, minutes, and meeting materials.
  • Coordinate Board, committee, executive, and corporate meetings, including travel and expenses.
  • Track action items, follow up on deadlines, and manage competing priorities.
  • Maintain Board records, governance documents, contracts, and organized filing systems.
  • Act as a liaison with Board members, staff, members, vendors, and external stakeholders.
  • Coordinate translation and interpretation services and review outward-facing materials.
  • Support senior leadership with research, presentations, proofreading, editing, and special projects.

  • Fournir un soutien confidentiel en matiere d'administration et de gouvernance au chef de la direction et au conseil d'administration.
  • Preparer les ordres du jour, les rapports, les presentations, la correspondance, les proces-verbaux et les trousses de documentation des reunions.
  • Coordonner les reunions du conseil, des comites, de l'executif et de l'entreprise, ainsi que les deplacements et les comptes de frais.
  • Effectuer le suivi des mesures a prendre et des echeances et gerer des priorites concurrentes.
  • Gerer les dossiers du conseil, les documents de gouvernance, les contrats et les systemes de classement structures.
  • Assurer la liaison avec les membres du conseil, le personnel, les membres de l'organisation, les fournisseurs et les intervenants externes.
  • Coordonner les services de traduction et d'interpretation et relire les documents destines au public.
  • Appuyer l'equipe dirigeante dans le cadre de recherches, de presentations, de relectures, de revisions et de projets speciaux.

VOS COMPETENCES

  • Sens exceptionnel de l'organisation, excellente gestion du temps et grand souci du detail.
  • Excellentes competences en communication ecrite et orale en anglais et en francais.
  • Discretion eprouvee dans le traitement de renseignements confidentiels et de questions sensibles.
  • Experience dans l'accompagnement de cadres, de conseils d'administration et de comites, ou dans les fonctions de gouvernance.
  • Solides competences dans la coordination de reunions, la redaction de proces-verbaux, la relecture, la revision et le suivi.
  • Capacite d'etablir des relations harmonieuses avec les intervenants internes et externes.
  • Maitrise avancee de Microsoft Office et des plateformes de reunion virtuelle.
  • Approche proactive, flexible et axee sur le service.
