What is a virtual project manager?

As a virtual project manager, you take control of a geographically dispersed team to accomplish a goal. Your job is to lead every worker on the team, set deliverable timelines for a project, and keep everyone on the same wavelength. A virtual project manager must have impeccable organizational skills because team members are frequently scattered across time zones. You also have excellent interpersonal skills and are skilled with VoIP and other technologies that facilitate communication. A virtual PM manages an entire project, in contrast to a virtual assistant who does specific tasks.

What are the key skills and qualifications needed to thrive as a virtual project manager?

To thrive as a Virtual Project Manager, you need strong project management knowledge, organizational ability, and experience with remote team coordination, often supported by a degree in business or a related field. Familiarity with project management software like Asana, Trello, or Microsoft Project, and certifications such as PMP or Agile/Scrum are commonly required. Exceptional communication, leadership, and time management skills are vital for motivating remote teams and ensuring project alignment. These skills and qualifications are crucial for driving project success, overcoming remote collaboration challenges, and delivering results on time and within scope.

What are some common challenges virtual project managers face when coordinating remote teams, and how can they be addressed?

Virtual Project Managers often encounter challenges such as time zone differences, communication barriers, and maintaining team engagement. To address these, they typically implement clear communication protocols, utilize collaborative project management tools, and schedule regular virtual check-ins to ensure everyone stays aligned. Building a strong team culture and fostering transparency also help in overcoming potential misunderstandings and keeping projects on track.

What is the difference between Virtual Project Manager vs Virtual Assistant?

The main difference is that a Virtual Project Manager oversees project execution, manages teams, and ensures project goals are met, often requiring project management certifications. A Virtual Assistant handles administrative tasks, scheduling, and support functions without the need for specialized project management credentials. Both roles are vital in remote work environments but serve different operational purposes.

Is it possible to work remotely as a virtual project manager?

Yes, virtual project managers can work remotely, as the role primarily involves coordinating teams, managing projects, and using online tools like project management software. Many companies offer remote positions for virtual project managers, requiring strong communication skills and familiarity with digital collaboration platforms.

What does a virtual project manager do?

A virtual project manager oversees and coordinates projects remotely, ensuring tasks are completed on time, within scope, and budget. They use tools like project management software and communicate with team members via email, video calls, and collaboration platforms to manage workflows and resolve issues.

Job description

Deliver Learning That Develops People and Leaders
We are seeking an experienced Project Manager to support the design and delivery of high-impact Leadership and Professional Development learning programs. This role focuses on managing traditional L&D training development projects-from concept through delivery-working closely with instructional designers, learning program leaders, subject matter experts, and external vendors.
This is an ideal opportunity for a project manager who understands how learning is built, thrives in creative environments, and enjoys bringing structure, clarity, and momentum to complex, multi-stakeholder initiatives.
What You'll Do
Lead End-to-End Learning Production
  • Manage the full lifecycle of learning initiatives, including digital, virtual, and instructor-led assets.
  • Partner with instructional designers, learning program managers, and vendors to bring learning concepts to life.
  • Ensure new learning experiences are delivered on time, within scope, and with consistent quality.

Plan, Coordinate & Execute
  • Develop and maintain detailed project plans, timelines, dependencies, milestones, and risk logs.
  • Manage multiple concurrent initiatives with overlapping timelines and stakeholders.
  • Facilitate alignment across designers, SMEs, vendors, and leadership.

Stakeholder & Working Group Management
  • Lead working group meetings and design reviews with instructional designers, SMEs, and vendors.
  • Ensure requirements are clearly defined and validated prior to design and development.
  • Act as a trusted partner-educating stakeholders on learning design processes and best practices.

Quality, Communication & Continuous Improvement
  • Ensure deliverables meet agreed-upon acceptance criteria, instructional standards, and design constraints.
  • Provide regular status updates, surface risks early, and celebrate wins.
  • Gather feedback, identify opportunities for improvement, and recommend refinements to processes.
  • Support production roadmaps, vendor coordination, and budget tracking

What Makes You a Great Fit
Required Qualifications
  • Bachelor's degree or equivalent professional experience.
  • 4+ years of project or program management experience, preferably in learning or creative environments.
  • Experience managing the development of learning solutions across multiple formats:
    • eLearning
    • Video
    • Virtual and classroom training
    • Simulations, games, or nudges
  • Strong ability to manage aggressive timelines with accuracy and attention to detail.
  • Highly organized, able to prioritize effectively and manage multiple projects simultaneously.
  • Comfortable navigating ambiguity and bringing structure to complex work.
  • Strong consulting mindset with the ability to influence without direct authority.
  • Collaborative, relationship-driven approach to teamwork.

Preferred Qualifications
  • Advanced degree or professional certification in Project Management, Instructional Design, Organizational Development, or related fields.
  • Experience using SAM or Agile learning development methodologies.
  • 3+ years of experience in Learning & Development or a creative studio environment.
  • Experience leading design reviews and working sessions with SMEs.
  • Ability to educate stakeholders on adult learning principles and address common learning misconceptions.
  • Automotive industry experience a plus.

Why This Role Matters
You will play a key role in shaping the learning experiences that develop leaders, strengthen professional capability, and support organizational performance. Your ability to manage complexity, align diverse contributors, and deliver high-quality learning solutions will directly influence the success of critical leadership and development initiatives.
