What Youโ€™ll Do as a Project Folder Coordinator

Our Project Folder Coordinators play a key role in supporting our Project Management team and ensuring project information is accurate and accessible.

Youโ€™ll:

  • Manage and maintain the virtual project folder site, ensuring project information remains accurate and up to date
  • Create, organize, and maintain project folders in accordance with Kirby Risk Project Management standards
  • Monitor project billing activity, vendor invoices, and change orders to help ensure accurate customer and vendor billing
  • Track project milestones, including submittals, shipping dates, and factory promise dates, while communicating updates to customers and internal stakeholders
  • Provide timely project status updates and reporting to account managers, inside sales teams, and management
  • Identify and report upcoming project opportunities through resources such as Dodge Reports
  • Collaborate across departments to ensure customer needs are met and projects remain on schedule
  • Represent Kirby Risk professionally in all interactions with customers, vendors, and fellow employees

What Makes You a Great Fit

  • College-level coursework or equivalent work experience
  • 2+ years of experience in electrical products sales, project coordination, or a related field
  • Strong organizational skills with the ability to manage multiple projects, priorities, and deadlines simultaneously
  • Excellent attention to detail and commitment to accuracy
  • Strong interpersonal, written, verbal, and customer service skills

What to Expect in This Role

  • Primarily onsite, indoors, in an office environment utilizing standard office equipment
  • Fast-paced, collaborative work environment supporting multiple projects and stakeholders
  • Ability to perform essential functions of this onsite role in a work environment with a variation of noise levels to include moderate noise due machinery, heavy equipment, moving motorized vehicles, alarms, vibration, and general conversations
  • Occasional travel may be required for training or visits to customer and Kirby Risk locations
  • Schedule: Mondayโ€“Friday, regular business hours
