Job description

Incumbent will lead the daily operations of our Plastic Surgery and Med Spa clinic. This role requires a professional who is well-versed in both clinical and administrative aspects of aesthetic medicine, with a strong focus on patient satisfaction, staff leadership, compliance, and business growth.

Role and Responsibilities
  • Oversee daily clinic operations, ensuring smooth workflow and adherence to protocols, policies, and procedures.
  • Supervise clinic staff including aestheticians, nurses, and patient experience coordinators.
  • Lead all aspects of the employee life cycle, including hiring, training, scheduling, and evaluating team members, while fostering a positive, engaging, and high-performing work environment.
  • Lead regular team meetings, provide performance feedback, and support ongoing development and motivation.
  • Ensure compliance with all health, safety, privacy, and licensing regulations (e.g., HIPAA, OSHA).
  • Monitor and manage inventory in coordination with the Inventory team, including medical supplies and retail products.
  • Monitor and enhance patient satisfaction through streamlined appointment scheduling, concierge-level service, and effective communication.
  • Maintain a welcoming, luxurious environment consistent with the clinic's brand.
  • Address and resolve patient concerns professionally and promptly.
  • Oversee all patient communications and collaborate across departments on consultations, follow-ups, and care instructions.
  • Track key performance indicators (KPIs) including bookings, patient retention, and staff productivity.
  • Partner with marketing and leadership teams on business development efforts, events, and promotional campaigns.
  • Analyze clinic performance and identify opportunities for operational and/or financial growth.
  • Maintain accurate records for audits and inspections, and stay current on regulatory changes and industry standards.

Minimum Education and Experience Requirements

  • 3 years minimum of management experience in a healthcare
  • Strong leadership and team management skills.
  • Excellent communication, organizational, and problem-solving abilities.
  • Familiarity with EMR/EHR systems and practice management software.
  • Understanding of HIPAA, OSHA, and other relevant healthcare regulations.
Preferred Education or Experience
  • Bachelor's degree in Healthcare Administration, Business, or related field (preferred).
  • 3+ years of experience managing a medical aesthetics, dermatology, or plastic surgery practice.
  • Experience with CRM and scheduling software (e.g., Nextech, Symplast, PatientNow).
  • Background in sales or marketing for aesthetics/med spa services.
  • Bilingual (Spanish preferred)
  • Knowledge of aesthetic treatments, plastic surgery procedures, and post-operative care.
Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer (up to 8 hours per day).
  • Frequent standing and walking within the clinic to supervise operations and support staff/patients.
  • Occasional bending, stooping, and reaching to access files, supplies, or assist with minor clinical support tasks.
  • Ability to lift or move light objects (e.g., boxes of medical supplies, patient charts, or small equipment) typically up to 20 pounds.
  • Manual dexterity and visual acuity to operate computers, phones, and office/medical equipment.
  • Clear verbal communication to interact effectively with patients, staff, vendors, and physicians.
