About our client:

A privately held investment-focused organization and family office is seeking a highly capable Executive Personal Assistant. This role blends high-level Executive Assistant support with comprehensive Personal Assistant responsibilities, ensuring seamless operations across both business and personal domains. This full-time position requires exceptional organizational skills, professionalism, discretion, and the ability to manage a wide range of tasks with accuracy and poise. The role is primarily on-site in Edina, MN, with some flexibility and occasional travel.

Responsibilities:

Executive Operations & Administrative Support

  • Oversee and enhance office operations, including organizing information systems, managing supplies, and maintaining a professional workspace.
  • Handle incoming correspondence, calls, visitors, and prioritize communications on behalf of the executive team.
  • Coordinate meetings, including logistics, scheduling, catering, and materials preparation.
  • Support investor relations activities including outgoing communications, mailings, and directory maintenance.
  • Manage general administrative tasks such as printing, copying, scanning, mail processing, and document handling.
  • Serve as the office point of contact for building management and vendor relationships.
  • Act as the liaison with the organization’s IT managed service provider to support office technology needs.
  • Work closely with senior leadership to support daily workflows, travel arrangements, and strategic priorities.

Personal Support & Family Office Management

  • Provide a wide range of personal assistance including scheduling personal appointments, travel coordination, errands, online ordering, and general household administrative support.
  • Partner with pilots and vendors to coordinate personal aircraft travel, itineraries, and compliance needs.
  • Plan and manage all travel for the family, including transportation, accommodations, dining, and special requests.
  • Oversee and coordinate property-related needs across multiple residences, including vendor management, maintenance coordination, and preparing homes for family visits.
  • Support personal business interests, including management of a boutique winery (production coordination, distributor communications, inventory tracking, and release announcements).
  • Collaborate with other internal staff to ensure smooth and efficient operations across all areas.

Experience:

  • Bachelor’s degree preferred.
