Job description

You might not know our name, but youve probably seen our work on stage or on screen. Weve supported some of the worlds most watched productions and live events in sports, entertainment, concerts, festivals, film, TV and more. For over 40 years our clients have trusted us to deliver live production, live events, and virtual production solutions for them, anytime, anywhere.

Purpose:

The purpose of this position is to coordinate the movement and logistics of mobile unit and centralized production facility staff throughout the US to ensure that NEP delivers superior service, builds last client relationships, works together as one team, while meeting commitments with integrity and passion.

Essential Duties/Responsibilities:

  • Coordinate scheduled/contracted client events for mobile television units and/or centralized production facilities for TV events.
  • Arrange staffing, enter appropriate scheduling information into scheduling software and coordinate all travel logistics for mobile unit staff and centralized production facilities for each event/project.
  • Communicate schedules and job information to appropriate personnel in a timely manner.
  • Prepare production book with all job-related information on a per job basis and enter appropriate data into software program.
  • Acquire appropriate documentation for shows outside of the US (carnets, permits, passports, etc.).
  • Review event contracts for equipment needs and works closely with Mobile Unit Coordinators to arrange and fill client and mobile unit equipment requirements. Assess what equipment is available through NEP shop inventory and what will need to be rented from an approved external vendor.
  • Approve engineers and drivers timesheets, paid time off requests and expense reports.
  • Manage and review field staff utilization days through scheduling software to ensure required workdays are met on annual basis.
  • Compile documentation and assist with billing invoices for each event in a timely manner.
  • Assist other Operations Coordinators with equipment, logistics, billing, etc. if shows are scheduled with other mobile units and/or in tandem with centralized production facilities.
  • Collect and review tech reports from each show, track missing & damaged equipment, coordinate shipping and follow up with maintenance needs.
  • Attend regularly scheduled Operations meetings and other appropriate meetings as required.
  • Function as a Project Coordinator when needed on multi-truck/client large scale events (i.e., NBA All-Star, Superbowl, Masters, etc.)
  • Work closely with the Account Managers to receive the sales contract, equipment needs and to reconcile any billing changes.
  • Travel as needed to visit with the client and/or mobile unit staff to ensure client and employee satisfaction.

Position Requirements:

  • Technical or Bachelors degree in Communications, Sports or Event Management, Business or related field desired, however a combination of education and experience will be considered
  • 3+ years experience in Event Planning, Logistics and Project Coordination required.
  • Crewing Experience is a plus
  • Demonstrated knowledge of broadcast management, technology, equipment, facilities, and live production for major commercial and TV networks desirable.
  • Demonstrated skills in professional communication and an ability to interact with a wide range of individuals.
  • Attention to detail, exceptional organizational skills and the ability to multi-task and meet deadlines.
  • Must be willing and able to travel.
