THE OPPORTUNITY
The Kansas City Office Manager position consists of a variety of responsibilities, including maintaining all office services for our Kansas City office, coordinating logistics for onsite meetings and events, providing administrative support for company-wide and local programs and initiatives, and supporting our People & Operations group as needed. This person is an integral part of our operations team, working to help us achieve our goal of making Global Prairie one of the most innovative, healthy, employee-friendly, and growth-oriented companies in the world, while also providing a world-class experience for all employee-owners, clients, and other guests who step into our Global Prairie Kansas City office.
This position is a fully onsite position, working from our Kansas City office Monday - Friday from 8:30am - 5:00pm each week.

ESSENTIAL FUNCTIONS AND QUALIFICATIONS
  • Manages office services, facilities, and efficiencies in our Kansas City office by ensuring office operations and procedures are organized, correspondence is controlled, and clerical functions are properly executed and maintained
  • Serves as primary point person for all Kansas City office related responsibilities and tasks i.e., answering phone, building maintenance, shipping & receiving, orders, equipment, and errands
  • Manages all day-to day Kansas City office tasks; dishes, mail, stocking coffee bar, replenishing snack offerings, general cleaning and organizing, office supplies (ordering/stocking), parking, watering plants, coordinating floral orders, and all building maintenance/repairs/issues
  • Fosters strong relationships with vendors, service providers, and Global Prairie partners i.e., property management, caterers, couriers, transportation services, florists, and other building service providers
  • Manages shipments (incoming and outgoing) for other Global Prairie offices and remote employee-owners
  • Provides excellent support and friendly service to all Kansas City office visitors and guests
  • In collaboration with our People & Operations group, helps to design and implement office policies and procedures, to ensure local and company-wide efficiencies
  • Manages and coordinate company-wide calendar and the schedule of events for local meetings and events
  • Liaises with all appropriate vendors and Global Prairie employee-owners to ensure all onsite meetings and events run smoothly and clients and guests have a world-class experience
  • Manages all onsite meetings and events in our Kansas City office, including but not limited to preparation, set-up, tear down and follow-up processes
  • Assists with onboarding and offboarding tasks and assignments
  • Collaborates with People & Operations on special events i.e., employee-owner birthdays/anniversaries, milestone celebrations, annual holiday parties, client happy hours, onsite community events, etc.
  • Manages client, community partner, and employee-owner appreciation gifts
  • Supports technology vendor with organization and distribution of hardware
  • Manages Kansas City office renovations, as assigned
  • Supports People & Operations group with variety of tasks as needed
  • Provides administrative support (calendar management, travel management, expenses, etc.) for leadership team, as needed
  • Assumes additional responsibilities/duties, as assigned

Additionally, the ideal candidate meets these qualifications:
  • Proficiency with Microsoft Office 365
  • Knowledge and comfort working with MacOS
  • Knowledge and ability to provide basic conference room/audiovisual (AV) support to onsite Kansas City team members and guests, as needed
  • Basic understanding of virtual meeting platforms such as Microsoft Teams, Zoom and Webex to support meeting launch and basic troubleshooting, as needed.
  • Experience with the following applications is not required, but would be preferred:
    • Zoho (Expense Management)
    • Sortly (Asset Management)
    • Dropbox (Content Management and Collaboration)
    • BambooHR (Human Resource Information System)

PHYSICAL DEMANDS & WORK CONDITIONS
The physical activity required of this position includes standing, walking, lifting, pulling, pushing, kneeling, reaching, stooping, talking, hearing and use of repetitive motion. Light work is required of this position, occasionally lifting or moving objects between 10-20 pounds. The visual acuity of this position requires the ability to operate a motor vehicle. This position will not be substantially exposed to adverse environmental conditions.
